MX is looking for an Office Administrator to provide executive team and office administration support. This person will play a critical role in ensuring the smooth day-to-day operations of our office by providing an outstanding employee and visitor experience and supporting our executive leadership in their daily operation. The Office Administrator position offers a reduced schedule of 24 hours per week and will sit onsite at our Burr Ridge office Tuesday-Thursday. What You'll Do Office Administration: Provide support for the Facility Manager when needed Manage the organization of vendors, contractors, and associated documents for office updates Maintain all supplies and goods for for office Manage catering requests and event set up and clean up Procurement of employee and client gifts Communications/Reception: Answer main phone line and route calls Greet guests and ensure an outstanding visitor experience Sort and route incoming mail; prepare outgoing mail Manage employee events and culture activities Executive leadership support: Maintain calendar for CEO Support Executive Leadership and HR team with administrative requests as needed Place lunch orders and pick up using personal vehicle (mileage will be reimbursed) Manage travel arrangements Submit expense reports in a timely fashion Special projects as assigned Who You Are Professional | Friendly, energetic, courteous, and service-oriented to visitors and employees. Culture Champion | Manage company and employee events or activities with enthusiasm, creativity and energy What We're Looking For Associates degree preferred and 1 - 2+ years of professional work experience in a corporate or service environment. Proficiency in Microsoft Office and Google Workspace Passion for technology and customer service A self-starter approach and a true sense of ownership regarding work at each point of delivery Ability to work autonomously knowing when to engage manager and greater integrated team Strong interpersonal/communication skills; you will be face-to-face with clients and internal departments at their busiest moments Ability to lift up to 40 lbs Use of personal vehicle for daily local driving (local errands, pick up lunch, etc.) - will be reimbursed for mileage.
