Title: Development Coordinator - Operations Location: Redmond, WA Work schedule: Full time, 40 hours a week, Hybrid: must be in office Tuesday & Thursday, Schedule typically M-F, 8am - 5pm with some flexibility. The career opportunity: The Development Coordinator - Operations provides administrative support to the Development team. This role will provide administrative and operational support to the Development team by supporting team activities; scheduling meetings, preparing materials, maintaining supplies, assisting with various fundraising/donor events, appeals, mailings, backup data entry, management of department SOPs and policies as well as special projects as assigned. The role gets to work with everyone on the team and potentially closely with Marketing & Communications. Attention to detail a must for this role. The Development Coordinator provides responsive and positive customer service to internal staff as well as volunteers, donors, and community members. The ideal candidate will bring a basic knowledge of fundraising, thrives in a fast-paced environment, is committed to teamwork, and is able to adapt to changing priorities. Strong organizational skills and a proven ability to complete administrative work with a high degree of accuracy is a must. This position will report to the Director of Development, Operations. Detail oriented, with a high level of accountability for accuracy and an ability to maintain an attention to detail during routine work. Beginner Accounting skills a plus. Computer/technology proficiency: ability to use MS Office 365, project management software, and online systems including relational databases (Raiser's Edge experience a plus). Ability to maintain confidentiality and use discretion. Proactive self-starter with strong problem-solving skills and a willingness to make independent judgments. Outstanding communication skills cross-culturally and with audiences at all levels. Excellent organizational skills. Valid driver's license, reliable personal transportation and proof of automobile liability insurance. Examples of what you will be doing: Support Development monthly staff meetings by scheduling and preparing rooms, assisting in setting agenda, and keeping minutes. Provide administrative support to VP of Development, Marketing & Communications and the Directors of Development (Giving & Operations); schedule and prepare for leadership meetings, take meeting minutes, supports credit card reconciliation, and other related administrative duties as assigned. Keep staff contact list for the Development Department, as well as provide logistical support for the team such as ordering and keeping track of event nametags, creating desk nameplates, and ordering supplies for the team. Supports Development team by maintaining supplies, promotional materials, answering general emails and miscellaneous projects. Plan and facilitate Development moral events, such as staff celebrations. Interfaces with donors and community leaders and represents Hopelink. Create, manage, and maintain system for ensuring SOP's and policies are created and maintained for all departments within Development. Represent the Development Department at quarterly, cross-agency Hopelink Training Hub meetings and work with managers to build and maintain training plans for each Development position. Support the Individual Giving team by preparing and pulling weekly acknowledgement letters and Thank You call sheets. Partner with Director of Development, Operations on management of MS Project for project tracking; attend operations meetings for Hopelink's main fundraising campaigns and events. Serve as a member of the Auction Procurement Team to support auction procurement, including managing procurement tracking, preparing auction items/certificates for event day and other responsibilities related to procurement. Provides back up support to the Operations Team, as needed, by accurately entering in-kind donations into the Raiser's Edge database, updating donor information, and processing acknowledgement letters. Assist development team with fundraising event support for Hopelink's annual Reaching Out Luncheon. Participate with relevant events such as Farm Fresh Feast, donor recognition/appreciation events, and major donor Cornerstone gatherings. Provide back up support to Volunteer Program, as needed, by responding to volunteer inquires via email and phone, running background checks, and by supporting recruitment and retention projects.
