Starting Hourly Pay Rate: $14.03 SCS Job Code / Level: / AS-610 SCS / MSU Position #: / C99343 This position is in the Cashier's Office/Administrative Accounting and is considered non-exempt under the provisions of the FLSA. This position reports to the Assistant Comptroller of Student Operations and serves to provide complex accounting services to the immediate department as well as campus wide to include our students, and the general public to ensure that all cash/credit transactions are properly posted and transacted in accordance with any state and/or federal requirements and auditing standards. The successful applicant must have excellent organizational and multi-tasking skills, excellent computer, and data entry skills, must be able to perform tasks with interruption, must have strong accuracy and attention to detail skills, and must have an excellent attendance record. This position has a large customer service component where excellent people skills are required and are a priority. Competencies the applicant should possess to be successful and efficient in this position: an understanding of accounting principles able to interact with customers in a professional, positive, and friendly manner pay close attention to detail able to count currency and perform calculations with accuracy The Accounting Specialist 2: Serves as the first level of Customer Support for the office of Administrative Accounting. Serves as the first point of contact for students via phone line for the Accounts Receivable Department Process payment to student accounts. This includes payments from students in person, over the phone, and through the mail. Process departmental deposits for the entire university. Verify amounts received (cash, check, and credit card charges). Post all deposits to the general ledger and issue receipts. Performs end of the day reconciliations of cash drawer, credit card payments, etc. and resolve any over/short discrepancies. Prepare bank deposits for cash. Serves as the first point of contact for students via phone line for the Accounts Receivable Department. Maintain petty cash fund including duties of verifying all authorized signatures are present and dispersing funds for petty cash to departments campus-wide. Request reimbursement of funds from Accounts Payable. Distribute checks including payroll checks (students, faculty, and staff), all returned student refund checks after student is notified and correct address is collected, reimbursement payments for faculty and staff for all travel advances, and monthly athletic stipend checks. Disburse interdepartmental request forms and receipt books. Maintain numerical log for audit control, ordering, and maintaining supply forms. Prepare daily report detailing monies deposited the previous day. This shows breakdown of cash, checks and credit cards from cashiers, bookstore, and any web payments made. Determine reasoning for all differences. Scan & File all receipts from departmental deposits and mail in payments made to student accounts. Constantly confer with the general public, students, and employees to obtain information and answer questions on various topics (student accounts, refund information, registration information, university deadlines, etc.). Exemptions - Grad Assistant, National Guard, Senior Citizens, Employee/Dependent; Contracts - appropriate documentation is provided before any exemption/contract is processed Return to Lender - Verify balances as calculated by FinAid office, create & mail invoices & place proper holds Housing -assist Asst. Comptroller in preparing remittance for Housing Payment arrangements entered into by students Collections - assist in identifying, contacting, and preparing past due accounts to be placed for collection at Attorney General Office Compiles information & data entry into internal computing system - post & journalize a great variety of journal vouchers, interdepartmental receipts/disbursements, housing agreements, student resignation percentage. Monitor the student information in the BankMobile (refund) system to ensure information is correct and contact students for updated information as needed. SUBSTITUTIONS: College training will substitute for the required experience on the basis of thirty semester hours for one year of experience. An Associate Degree in Accounting, Accounting Technology, or Business from an accredited college or university will substitute for the required experience. Training in a vocational-technical school or military school in Accounting, Accounting Technology, or Business will substitute for up to one year of required experience on the basis of one month of training for one month of experience.
