This is a hybrid opportunity in downtown Chicago.Start Date: ASAPDuration: Temporary to PermanentLocation: Downtown Chicago, IllinoisPay Rate: $35 - $38hr temp; $75K - $80K upon conversionSchedule: Hybrid | Full-timeOur client, a national nonprofit medical association, is seeking an Executive Assistant to support a high-level executive!ResponsibilitiesCalendar management for executive and adjacent team; scheduling meetings and ensuring attendees have all necessary materialsTake incoming calls and correspondence or forward to the appropriate contact as necessaryCommunicate staff and senior management requests to executive, ensuring prompt response, prioritizing appropriately, and maintaining confidentialitySupport the executive with external meetingsconferencesAssist with the development of executive presentationsmemos, which may include proofreading, researching, and general editingHandle all travel details including the arrangement of flights, hotel booking, etc.Handle all executive expense reports appropriately; manage company credit cardFollow-up on all questionsdiscrepancies regarding travel budgets, policies, and processesCoordinate administrative duties with other assistants across the divisionMay include other responsibilities as assignedQualificationsBachelor's degree required5+ years of work experience as an Executive AssistantProofreading skills and attention to detail in reviewing documents and presentationsExperience supporting senior or C-suite executivesPrevious experience leading administrative staffStrong multi-tasking, planning, and organizational skills neededDiplomacy and tact are required in internal and external communicationsMust be able to work autonomously and exercise judgment in task delegationExcellent interpersonal communication skills across written and verbal mediums to correspond between departmentsDiscretion and integrity requiredSoftware skills including Excel, Word, PowerPoint, and Outlook; strong PowerPoint skills essentialAble to work extended hours on occasionCity Staffing is committed to diversity, equity, and inclusion (DEI) in all aspects of our business.
