Salary: $22.02 Hourly Location : San Luis, AZ Job Type: Full-time Job Number: Department: City Attorney Opening Date: 07/11/2024 Closing Date: Continuous ABOUT THE POSITION Under general supervision of the City Attorney, performs paraprofessional work, preparing and organizing a wide array of legal documents, reports, documents, claim and litigation management files. Performs routine legal research and compiles data from such references as digests, encyclopedias, practice manuals or other sources. Maintains and updates the individual claims management files. Coordinates with outside counsel the scheduling of interviews, depositions, and discovery requests. IDEAL CANDIDATE The duties listed below represent the various types of work that may be performed. Essential duties and responsibilities may include, but are not limited to, the following: ESSENTIAL FUNCTIONS: Supports the legal department and management staff in the completion of projects, conducting legal research, managing documents and databases. Performs routine legal research compiling and summarizing data from various data sources, legal documents, case briefs, etc. Prepares letters, reports and memoranda from dictation, verbal direction, or from knowledge of City ordinances, policies or procedures; edits and corrects data on routine documents. Drafts various types of documents and correspondence for the attorneys' review and appropriate filing, dissemination, or distribution. Establishes and maintains legal, claim, and risk management files and records on an ongoing basis so that information can be quickly retrieved; appropriately disposes of or archives files per legal requirements. Posts data to various records and forms, makes and maintains charts, gathers data from various sources and prepares reports. Maintains files, documents, and processes attorney invoices in accordance with the Legal Department's claims management guidelines. Maintains standard form bank for the handling of each case. Collaborates with other agencies or outside counsel retained for specific problems and assignments. Coordinates scheduling of depositions, witnesses' interviews with litigation attorneys or other case representatives. Ensures compliance with Civil Litigation Rules, Clerk of Court and Court Rules. Retrieves information requested by members of Legal Department. Maintains and updates forms and reviews the Office of City Attorney web page periodically for any corrections or updates needed. Performs related duties as assigned. MINIMUM REQUIREMENTS Required: Associate degree, two-year college, or technical school for paralegal training Two (2) years of experience as legal secretary or law related administrative support. Residency in the United States and within 25 miles of the City of San Luis A valid Arizona driver's license at the time of appointment and must maintain throughout employment. Bilingual in Spanish required. Preferred/Desired: San Luis, Arizona residency Paralegal Certification Knowledge of: General office procedures and operations. Efficient use of Microsoft Office Software (Word, Outlook, Excel, PowerPoint) Operating computer hardware, computer peripherals, printers/fax machine/copiers, audio recorders, and other common office equipment. Business English and spelling (Fluent Spanish oral and written preferred, not required) Basics of legal research, proceedings, legal sources of laws and legal terminology (knowledge of legal research techniques, motion practice and transactional practice Basic accounting Preparing budgets and requisitions; and Importance of complying with purchasing procedures. Ability to: Conduct legal research techniques and motion practice. Prepare, draft, and proofread legal documents, pleadings, and discovery processes. Interpret legal procedures and governmental/court rules and regulations. Learn quickly and seek resources helpful to the tasks of the work. Professional courtesy and customer service. Word processing, Microsoft Word, Microsoft Excel, Power Point, Adobe Acrobat and Microsoft Outlook. Establish and maintain effective working relationships with others. Understand and follow written and oral instructions in English. Handle the pressures of multiple deadlines and simultaneous work demands. Office organization, developing and maintaining systems for physical and electronic data. Track, review, and prioritize tasks. Read, write, and use the computer office programs utilized in the City Attorney's Office. Work with office standard office equipment (computer, computer peripherals, printers/fax machine/copiers, audio recorders, and other common office equipment). Work Environment: Work is performed in a standard office environment with occasional lifting, carrying to put away and retrieve files, books, records, documents, and office supplies in floor-to-ceiling shelves.
