How this role drives the company forward: Part of the Human Resources team, the Administrative Coordinator is responsible for coordinating company and employee events, as well as performing other confidential administrative and human resources support functions. This role provides back-up to the Administrative Assistant role and may assist other departments. In this highly visible role, the Administrative Coordinator is upbeat, responsive, proactive, and exhibits a customer service can-do attitude while remaining flexible to changing needs of the day. The Administrative Coordinator is an on-site role located in San Jose, CA. How you will make an impact: In this role, you will provide administrative coordination for Human Resources. You will plan and execute HR or employee-focused events, as well as any company or department events such as the annual National Sales Meeting. You will research and coordinate with vendors, internal personnel, and other stakeholders. The work you do is extremely important and impactful to all throughout the organization. You will have the opportunity to work on confidential HR support tasks, such as personnel file records, routing documents, and record retention. In this role, you will also provide backup support to the Administrative Assistant. You should be detailed oriented, able to manage multiple projects and priorities, and maintain a calm, professional demeanor at all times. What will you do: Plans, coordinates and executes employee, departmental and company events. Responsible for hospitality initiatives, such as meeting coordination and setup. Will use company or personal car to run errands for food, beverage, and supplies. Assists Human Resources with personnel files, filing and record retention. Other Human Resources functions assigned as needed. Assists with onboarding and offboarding activities. Supports expats on assignment from Japan. Provides back-up to the Administrative Assistant role. Orders, sets up, and replenishes Wednesday breakfast. Maintains EV charger applications and gym waiver consent forms. Departmental clerical and administrative duties as assigned. This position does not have supervisory responsibilities. How will you get here? Requires a high school diploma or equivalent. Minimum 4 years' administrative experience in a related area or function. Prior experience planning and executing special events is required. Maintains a professional demeanor while handling pressure well and managing multiple tasks. Requires strict confidentiality and care when dealing with or having access to sensitive employee information. A few other details: This is a full-time, non-exempt position, Monday through Friday during standard business times. Flexibility to work overtime or non-standard hours may be required at times.
