The Administrative Specialist performs a variety of tasks and functions as an administrative coordinator to support staff, faculty, and students in Workforce and Continuing Education with integrity and sound judgment, while ensuring that excellent customer service is provided throughout the division. Work includes high-level administrative and clerical duties, conducting research and analytical duties, and special projects as needed, ensuring various internal and external deadlines are met, maintaining sensitive files and records, and related work as apparent or assigned to support the department. Occasional travel for conferences (college sponsored and off-campus), occasional travel for work-related duties between college campuses is required, weekend telephone support for faculty teaching weekend classes may be required but is rare. This position may have occasional travel between campuses and for training. Occasional after hours may be required. Essential Duties Coordinate and/or administer CE programs/courses as directed to include prep, processing, and records management of related documentation Process student course registrations and payments following established CCCC Business Office Procedures for cashiers including performing daily cash balancing and receipting Provide high-level administrative support to CE Deans and program coordinators/directors for any scheduled CE program as requested including contacting instructors and students to relay course information (schedule changes or cancellations), and management/processing/delivery of course documentation Update program information as needed/requested in third-party systems including NC Works Training Provider Portal and AI Portal (military-affiliated) to maintain funding eligibility for CE programs Assist with Ed2go coordination including creating sections, scheduling courses, registration, and closeout documentation Relay information to CE team specific to work location including Chatham, Harnett, and Lee County course schedules, staffing changes, and other pertinent information Collaborate across functional teams to ensure assigned tasks and duties of the division are completed and goals met Conduct governance activities and meeting administration (e.g., accreditation and auditing processes, Board Member onboarding), including preparation of agenda, papers, and minutes Collaborate with CCCC Career Center to support Career Center functions Manage/process incoming and outgoing office mail Create and/or maintain office inventory and inventory tracking systems, program-specific forms, and marketing material Manage and/or coordinate employee recruitment including participating in hiring committees and interviews, processing new hire documentation and verification (Form I-9), performance evaluation, and termination processes as requested Conduct and/or participate in training sessions for a variety of purposes including staff and faculty onboarding and training students on registration processes and platforms Confidently analyze data & compile reports on analysis Attend and participate in leadership meetings as part of the leadership team Initiate & lead projects including departmental transitions, staff relocations, etc. Take over projects for Dean and directors as required Take the lead in the preparation of project documents, reports, brochures & budgets Assist with the preparation of purchase requisitions through Etrieve/E-Procurement. Enter requisition information on budget spreadsheet, keep track of items ordered, etc. Work with Deans/Directors' direct reports to ensure projects are delivered on time Prioritize for the Dean and/or Directors as required, to ensure they're working on the most important items Keep the Dean/Programming team accountable for commitments Complete required annual Professional Development (PD) and maintain documentation of completed PD activities Use good judgment in identifying issues to assist staff, faculty, and students with questions regarding policies and procedures and/or direct the issues to management, or appropriate staff Receive visitors, phone calls, fax documents and makes copies, directing calls and visitors to the appropriate person/department Compose, prepare, and transmit confidential and sensitive information Coordinate travel arrangements as needed Encourage and support College activities, policies, procedures, and philosophies Perform other duties as assigned Recognizing and respecting the variety of experiences and contributions represented by all our students, employees, and community, the Administrative Specialist will encourage a learning environment where everyone is supported and valued for their unique perspectives and experiences and will foster and promote the participation of all members of our diverse communities. Minimum Requirements Required educational background: Associate degree in business or related field required OR An equivalent combination of certification, education and experience sufficient to successfully perform the essential duties of the job such as those listed above Required kind and number years of work experience: 1-2 years in a higher education environment 3-5 years of office management/coordination Required knowledge, skills and abilities: Proficient computer skills including Microsoft products, Google products, and calendar management, willingness to learn and utilize new skills, and excellent customer service. Preferred Requirements Experience working in a North Carolina Community College Bachelor's degree Background in workforce development, economic development, training, and/or continuing education Bilingual (English/Spanish) American Society of Administrative Professionals (ASAP) Professional Administrative Certification of Excellence (PACE) or the International Association of Administrative Professionals (IAAP) Certified Administrative Professional (CAP) or applicable state or national certification NC Notary Public or commissioned as a Notary Public in the State of North Carolina within six months of hire Project/event management, public speaking, and advanced computer skills including working with MS Teams, Blackboard, Zoom, and survey software platforms.
