Our client is seeking an Executive Assistant with a knowledge and passion for music. The individual will provide music licensing support, along with content production management responsibilities across social digital platforms and regional offices. This position is responsible for coordinating the day-to-day workflow of music clearances (e.g., research songs and identify publishers, writers, and labels), cue sheet submissions, and department-wide administrative tasks. Additionally, the role will serve as support for all operational tasks across the following groups: International Programming, International Operations, Social and Digital Content creation, and Next Gen content. Employees are offered medical, dental, vision, 401(k), and commuter benefits.Pay rate: $28 per hourHours: 9:00AM-5:00PMHybrid work model: 3 days in office, 2 days remoteOn-site location: Secaucus, NJAssignment length is 12 monthsResponsibilities:Support conversion of current physical filing system (e.g., agreements and correspondences) into the digital tracking system that will be updated and maintained going forward, including sharing relevant information with key stakeholders (e.g., expiration dates tracking contracts, invoices, spend, # of requests).Music clearance research and preparation of formal music clearance request submissionReview and submission of quarterly cue sheetsServe as Production Management liaison. Duties may include maintaining end-to-end workflow of projects for Social and Digital Content and Int'l Prog teams (e.g., tentpole events, in-season and off-season deliverables), managing production request from regional offices to ensure each client is following due diligence, working closely with internal teams (Assignment Desk, Int'l Programming, regional content leads) to handle crews for onsite shoots, location scheduling, budget estimates and opening new projects, processing invoices and work with Legal on contracts for domestic and international 3rd party production, tentpole events, crews and vendors, using Xytech system to create PO's, WO's, approve timesheets, open and close approved fiscal year business planning projects, providing frequent project estimates and YTD tracking across project spend, coordinating with cross-functional stakeholders, regional content leads and department head on fiscal year business planning budget projections, updating and maintaining project forecast, communicating deadlines and updates as provided by finance team, working with SocialDigital and Content Business Operations teams on tracking, updating and communicating PE shifts across teams, and creating monthly PE shift schedules, tracking request for days off and communicating updates to daily shifts and changes in scheduleComplete corporate, meeting and BTA card templates. Submit monthly supporting documentationOrganize merchandise orders for tentpole events across Programming and Emerging Media teamsQualifications:This role will require a detail-oriented person who is ideally familiar with best practices of music licensingpublishing landscape andor budget and project managementComfort in an autonomous work environment.
