Come join our engaged team of professionals!Position PurposeThe Executive Assistant is responsible for providing comprehensive (work and personal) support to Stephen Lovett while managing office operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. Will positively represent Stephen's team at the point of first impression and in day-to-day moments of relationship building. Will promptly execute established administrative processes with great attention to detail and sense of urgency while gathering critical information to effectively solve problems on behalf of our team, clients and business partners.Essential Duties and ResponsibilitiesExhibit our organizational core values each day because they are crucial to our collective success: Lead by Example Figure it Out Together Earn Loyalty Do the Right Thing Be a LightSupport Stephen Lovett from an administrative and scheduling standpoint - including work and home-related needsAnswer incoming agency phone calls and reply to emails related to real estate transactions and inquiriesCreate marketing flyers and brochures. List properties online and coordinate listed property campaignsSchedule appointments and meetings with clientsOrganize comps for listings and property folders containing listing paperwork, contracts, due diligence, supportComplete property valuation templatesDraft simple listing agreements and extensionsManage databases and overall approach to processing signed client service agreements, to include scanning, emailing, handing data entry, and uploading Conduct basic property research and contact municipalities to gather information or locate proper contactsInventory office supplies and manage ordering processSend client gifts and High Touch personal program. Maintain compliance with listing agreements and contract timelinesEvaluate entire administrative operation, offer creative suggestions while driving needed improvements on an ongoing basisEducation and Required SkillsExperience5 years+ of related administrative, preferably in a fast-paced environmentReal estate license (bonus, not required)Strong personal maturity and high integrity when working with sensitive or confidential informationClear written communicator with an eye for design (marketing communications background helpful)Strong discretion and judgment and ability to appropriately handle confidential informationExcellent phone presence, interpersonal skills and ability to communicate effectively with wide variety of peopleCollaborative team player and trust-based relationship builderDiligent, reliable, and proactive results-driven mindsetHighly organized, detail oriented, and cautious to prevent sending documents with errorsHunger to learnFlexibility in hours worked - 40 hours week Ability to work primarily from our Gainesville, GA office (with possible opportunity to work occasionally from home in the future)Ability to drive to various locations in ATL metro area occasionallyPrevious experience with heavy data entry within variety of systemsKnowledge of and strong proficiency with Microsoft Office suite of products (Word, Excel, PowerPoint, ExchangeOutlook)Strong proficiency and familiarity with MAC and PC's This job description in no way states or implies that these are the only duties to be performed by the employee(s) incumbent in this position.
