Description Position at SIRTOA JOB INFORMATION Title: Administrative Associate First Date of Posting: 7.8.24 Last Date of Posting: 7.19.24 Authority: Staten Island Railway Department: Subways Division/Unit: Operations Support Reports to: Senior Director, Operations Support Work Location: 845 Bay Street, Staten Island, NY Hours of Work: As required CURRENT STATEN ISLAND RAILWAY EMPLOYEES MUST APPLY FOR THE INTERNAL POSITION AVAILABILITY NOTICE IN ORDER TO BE CONSIDERED FOR THIS POSITION. COMPENSATION: The current minimum salary is $28.per hour for a 40-hour week increasing to $40.per hour in the sixth year of service. These rates are subject to change as per the Transportation Communication Union (TCU) Collective Bargaining Agreement. The benefits of this position include, but are not limited to, paid holidays, vacation and sick leave, and a comprehensive medical plan and pension plan. Current rate has been established by the Transportation Communications Union and is non-negotiable. RESPONSIBILITIES: This position, reporting to the Senior Director of Operations Support, encompasses comprehensive administrative responsibilities pertaining to the Employee Policy Compliance and Human Resources Offices. The ideal candidate will excel in a variety of administrative support functions, demonstrating proficiency in Microsoft Office, meticulous record-keeping, outstanding communication skills, and the capacity to handle highly confidential matters with discretion and professionalism. Key duties include coordinating Short-Term Disability and MetLife processes, along with managing billing for legal services. The incumbent will act as a vital liaison with the Employment Center and Talent Acquisition, facilitating all recruitment efforts by preparing interview packages, scheduling candidates, scheduling panel members, managing requisite paperwork, and overseeing internal job postings. Additionally, the incumbent may interface with the Pass Unit to request updates or replacements for employee and pensioner passes and coordinate the retrieval of passes from terminated employees. This role also involves supporting department management by preparing meeting agendas, conducting research, organizing, and reporting information, and compiling reports and meeting minutes. Furthermore, the incumbent will support the Executive Administrative Assistant and may coordinate and organize special events, such as employee recognition ceremonies and recruitment activities. Additional duties may be assigned as necessary. This position demands exceptional integrity, efficiency, and attention to detail, ensuring the seamless execution of administrative processes within the organization. EDUCATION AND EXPERIENCE 1. Must possess a high school diploma or equivalent. 2. A minimum of 5 years of progressively responsible administrative experience. DESIRED SKILLS •Special or relevant training in the field of public sector administration is preferred. •Ability to guard and effectively maintain confidentiality of sensitive documents and communications. •Proficiency in the use of Microsoft software applications, including Word, Excel, Access, Outlook, and PowerPoint. •Proficiency in the use of the internet for research, travel arrangements and procurement. •Ability to prepare accurate written records and reports. •Ability to perform detail-oriented work with frequent interruptions. •Ability to meet deadline and to focus with attention to detail in a fast-paced environment. •Ability to use sound judgement, initiative and resourcefulness when dealing with other employees and the public. •Ability to work effectively under stress and in emergencies and to adapt to changes in work priorities.
