Position Details Posting Summary Position Title Administrative Assistant and Anesthesia Simulation Tech - Nurse Anesthesia Program Overview St. John Fisher University is an independent, liberal arts institution that provides a transformative education to approximately 3,800 undergraduate, master's, and doctoral students each year. Job Responsibilities 1. Assist with Anesthesia Simulation Equipment : Set up and take down anesthesia simulation equipment as needed for training sessions and simulation experiences. Ensure all equipment is properly maintained and stored after use. 2. Provide support for the SJF WSON Nurse Anesthesia Program. 3. Liaison with other key offices on campus (e.g.: Graduate Admissions, Registrar, Facilities, Academic Affairs, Library, Bookstore, etc.) 4. Support Program Director and Assistant Program Director for semester program scheduling, registration issues, interviews, and special room reservations for semester. 5. Work with program leadership and Transfer and Graduate Admissions to coordinate admissions process in the nurse anesthesia program. Manage application files, set up interviews, and maintain spreadsheets, primary contact person for both the applicant and Transfer and Graduate Admissions. 6. Organize special events as appropriate including mailing and receiving acknowledgements, arrange for parking and catering as needed. 7. Create and maintain accurate student data base (e.g. Banner, Typhon), records (alumni and current), and email distribution lists. 8. Maintain accurate database of students and other required data for accreditation/state and grant requirements. 1. Maintain Records for COA : Keep accurate records and documentation required for accreditation by the Council on Accreditation of Nurse Anesthesia Educational Programs (COA). This includes compiling data, organizing files, and assisting with annual reporting as necessary. a. Provide Accreditation Support for the Council on Accreditation of Nurse Anesthesia Educational Programs (COA) and other accrediting agencies 3. 9. Liaison with clinical site coordinators to ensure that the graduate programs comply with any special requirements of students prior to beginning their clinical rotation. 10. Accreditation Support CACREP, COA and CCNE 11. Administrative Support Duties a) Answer phone and provide information to prospective students. Refer students as appropriate. b) Provide telephone coverage for the Program Director and Assistant Program Director phones between hours of 9am - 4pm. c) Update Program Directors and Assistant Program Directors calendars as appropriate. e) Support graduate faculty by maintaining accurate student files, assisting with photocopying etc. f) Attend and provide accurate minutes of monthly nurse anesthesia meetings. 3. Assist Students, Faculty and Clinical Site Coordinators: Serve as a point of contact for students, faculty, and Clinical Site Coordinators within the Nurse Anesthesia Program. Assist with inquiries, provide information, and facilitate communication as needed. 4. Manage Program Supplies and Inventory : Monitor and replenish supplies necessary for the program's daily operations. Maintain inventory records and coordinate procurement of supplies as directed. 5. Support Program Development Initiatives : Assist in the preparation of program materials, reports, and presentations. Contribute to special projects and initiatives aimed at program improvement and development. Education / Experience Education/Experience: * A.A.S. Degree in business, office management or similar degree and/or 2+ years of relevant office experience; * Experience working in a team environment. Must be a team player and have a willingness to be flexible in the workplace. - Familiarity with medical terminology and procedures, particularly in anesthesia or healthcare education, is advantageous. Competencies / Skills Team player - ability to multi-task, work independently and as part of a team. MS Office Suite (Excel, Word, Outlook, PowerPoint), Skills with document imaging Strong skills in creation, maintenance and integration of data base information for the purposes of documentation, course forecasting and scheduling- -Desktop Publisher - Banner (data warehouse for all functional areas across campus) Supervision of Employees None Work Environment Well-lighted, well ventilated, pleasant work area. Must be able to move and/or assist with moving anesthesia equipment with assistive devices with nurse anesthesia faculty Equipment to be Used - Fax - Printer - Copier - Telephone Job Type Full-time Work Hours Monday - Friday day: 35 hours per week 12-month position 8:30 am - 4:30 pm during fall and spring semester.
