Job Title: Transplant House Coordinator Entity: HUP Department: Barker Transplant House Location: University of the Hospital of Pennsylvania, 3400 Spruce Street, Philadelphia, Pa Hours: Part Time, 20 hours per week, Evening/Weekend shifts: Thursday and Fridays 5:00pm to 11:00pm, Saturdays 3:00pm to 11:00pm, as well as additional days/support as needed. Summary: The incumbent will support the mission of UPHS and the Clyde F. Barker Penn Transplant House by effectively planning, implementing and evaluating daily operations of the residence. The incumbent will oversee the creation of a welcoming environment conducive to guest interaction and mutual support. In addition, the incumbent will fill in shifts during a team member's absence (as is reasonable). Responsibilities: Guest Services:Proficiently manages room request system. Assures seamless flow of housing process from check-out to check-in, including cleaning procedures and room preparation by self or volunteers (when applicable).Maintains guest confidentiality and ensures its adherence by staff and volunteers.Actively and supportively listens to guest concerns, seeking help from hospital staff as appropriate. Advises guests of available resources for medical, emotional/social or spiritual support during their stay.Educates families regarding The Clyde F. Barker Penn Transplant House policies and procedures; proactively manages the House to ensure policies are followed and to anticipate potential guest problems.House Operations:Collaborates with internal UPHS contacts in overseeing the physical facility and surrounding property. In a timely manner evaluates maintenance issues and communicates with on-call manager about them. Keeps accurate record of loaned items.Ensures a high level of cleanliness of the facility. Reports problems to the Operations Manager, as well as noting them in the staff log.Must be knowledgeable of mechanical systems and emergency procedures. Responds effectively and compassionately to any emergency situations that occur.Maintains accurate financial records for House including but not limited to guest registration, payment and family assistance.Prepares a brief report of evening or weekend activities in report notebook. Documents unusual guest behavior in the Incident Report Notebook after consulting with on-call Manager. Substitutes for other managers when the situation requires, including at least one major holiday per year. Will make reasonable accommodations to ensure coverage during emergency situations and when team-members on sick, personal, or vacation leave (as is reasonable).. Required to work some holidaysMaintains positive public relations with neighbors and community. Represents Barker Transplant House in an informative and appreciative manner to donors and community groups.Volunteer Supervision:Effectively communicates with all Transplant House employees, volunteers and guests to insure optimal operations and functioning.Supervises House volunteers. Develops and maintains a positive professional relationship with volunteers and supervises their daily activities as well as aiding with their training. Encourages retention by ensuring rewarding work experiences and opportunities to interact with guests. Assists in filling vacancies on volunteer schedule and recruitment of volunteers.Performs other related duties as may be assigned by authorized personnel or as may arise unexpectedly.Non-Patient Care Participates in Entity and Department wide initiatives for Patient /Employee safety Demonstrates an awareness of patient/ employee safety when carrying out daily responsibilities of their position. Validation of annual competencies required for the position Credentials: Education or Equivalent Experience: H.S.
