Singerman Real Estate is looking to grow our firm with the addition of an experienced Office Manager. The ideal candidate will have prior experience in office management, executive team assistance and event planning. Candidates must possess excellent management, customer service, administrative and organizational skills that facilitate the smooth running of our office operations. Candidates must be a self-starter, possess excellent verbal and written communication skills, and the ability to react quickly to changes as priorities are shifted. This position will report directly to our CFOCOO. Primary job functions include:Serve as the executive assistant to the managing principal and other executivesManage front of office - greeting and successfully working with employees, visitors, investors, vendors, consultants and building staffPlan and execute internal firm meetings and investor events, including quarterly updates and annual investor meetingServe as IT liaison for the office - working with outsourced IT consultant to resolve issues, ordering and setting up new hire workstationsAnswer and screen incoming phone calls, providing assistance when possible and routing other calls to appropriate personnelManage and book travel arrangements for managing principal and other executivesCreate and maintain databases and spreadsheets in CRM andor Microsoft ExcelAssist the CFOCOO with a variety of projects including monthly expense reports and managing office costsManage and update documents on investor portalOrder, stock, and organize office suppliesAssist in the preparation of packages and office mailingPerform other special projects as directed by the executives and vice presidentsRequirements: 5+ years of administrative or office management experienceA Bachelor's degreeExperience planning and executing all aspects of events and meetingsExceptional attention to detail and ability to focus on a variety of tasks simultaneouslyOutstanding verbal and written communication skillsAbility to learn quickly, problem solve and anticipate office needs and needs of othersStrong organizational and communication skillsExperience working with budgetsDesire to work in an entrepreneurial environmentExperience with Microsoft Excel, Microsoft Word, Microsoft PowerPointNot required, but highly valued: CRM experienceCompensation: This is a full-time position reporting to the CFOCOO.
