Join Our Team as an Office Manager at Superior Fence & Rail! Do you enjoy customer service, detail-oriented work, maintaining strong organization, working with Quickbooks, utilizing specialized software to accomplish tasks, and being in a fast-paced environment? If so, you could be a great fit for our Office Manager position at Superior Fence & Rail! At Superior Fence and Rail, we install residential and commercial fences. Every day, customers call us or fill out web-forms requesting to get information regarding installing a fence in their yard. As the Office Manager, you would be answering those calls/responding to those leads, answering customer questions, and ultimately scheduling an appointment with the customer and one of our Sales Representatives. After the customer signs a contract with the Sales Representative, you will then collect the customer's deposit, apply for permits at the customer's local municipality, create a Sales Order and breakdown of materials using our proprietary software, and communicate with the Operations Team to get the install scheduled. After the job is complete, you will follow up with the customer, ensure the customer is satisfied, collect final payment, and then log everything into Quickbooks. This position will require a lot of attention to detail, working with numbers, and working carefully to avoid mistakes. This position also requires excellent customer service as the Office Manager is usually the first person a customer calls if they're upset. Primary Responsibilities Develop expertise in product knowledge, technical knowledge, industry and process knowledge in relevant product areas. Develop organizational procedures and systems for office personnel, including filing, billing, accounts payable, payroll and scheduling Receive inbound calls/make outbound calls to set appointments with prospective clients Provide support to customers and handle all inquiries that come in via email or phone Process all new sales contracts Use industry specific software to produce materials list Contact customers to schedule appointments for fence installations Prepare and file permits with various municipalities Assist in the onboarding process for new hires; including collecting all required documents Interacts with clients and co-workers in a pleasant and professional manner. Skills and Experience 3 years or more of office management, administrative, or assistant experience Experienced in working in a fast-paced environment Ability to multitask efficiently Prior office software experience (Microsoft Office or Google's G Suite) High level of experience with computer operations and appropriate software Highly detail-oriented with organizational skills Polished and professional in demeanor and possess a strong work ethic Ability to work independently with little or no supervision Ability to treat others with respect and gain trust and respect from co-workers and customers Exceedingly positive in his/her work attitude If you'd enjoy being in this type of environment, we'd love to hear from you!
