Department Summary The department of Geography is a diverse, interdisciplinary, and collaborative department. Our faculty comprises 14 members from 7 countries with expertise in: Earth Science & Modeling; Globalization, Development, & Cities; Human Systems & the Environment; and GIS & Remote Sensing. We are located in the Environmental Education, Science and Technology Building (EESAT) along with environmental scientists and environmental philosophers as well as the Elm Fork Education Center. Position Overview This position is a student facing position that assists the Administrative Coordinator with managing the daily operational needs for the Department of Geography and the Environment. The Administrative Specialist will: perform clerical and administrative tasks connected with the disbursement of course fees, preparing materials for various events and meetings, collecting syllabi, and other class materials. Promotes overall organizational efficiency and supports department faculty, students, and staff. Receives inquiries from various people and answers questions or directs them to appropriate resources. Provides service as Graduate Secretary, working independently and in collaboration with Graduate Studies Director to process applications and compile information used to evaluate prospective graduate students. Admits new graduate students and assigns office space and teaching roles in collaboration with faculty. Assist with organizing different events for the department. Minimum Qualifications Associate's degree and three years' of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training. Knowledge, Skills and Abilities Exceptional customer service skills. Intermediate Microsoft Office skills. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function. Preferred Qualifications Bachelor's degree and two years of varied experience in office administration or business management; or an equivalent combination of experience, education, and training. Required License/Registration/Certifications None Job Duties: Coordinates comprehensive inventory checks throughout the year and ensures annual inventory is completed/submitted according to the university deadlines. Also manages department space survey per university guidelines. Acts as first point of contact; greets visitors and callers in a friendly, cooperative, and helpful manner. Maintains and routes (when appropriate) files for forms, records, reports and other class-related materials. Utilizes EIS for student and department information when requested by faculty and staff. Properly add, drop and override students in department courses. Provides administrative support as Graduate Secretary to the departments Graduate Program and Advisor. Receives, organizes and processes graduate program applications. Coordinates with lab coordinators and Graduate Studies Director to organize our annual orientation, TA training and allocation of duties. Completes forms for new hires, assigns office space, etc. Serves on Graduate Admissions Committee. Maintains departmental social media accounts and updates regularly. Including adding new students to our Departmental Canvas page and remove those who have graduated. Process payroll for hourly employees and adjuncts. Acts as department textbook coordinator and orders textbooks for classes and instructors. Assists with university SPOT evaluations for instructors. Coordinates with the Undergraduate Committee chair, Graduate Committee chair and the Department chair to complete tasks in Curriculog. Create and process proposals in Curriculog to make changes, deletions, or additions to programs and courses in the catalog. Assist the Administrative Coordinator with travel arrangements and reimbursement for students. Purchases office supplies to replenish supplies and items for events or meetings in collaboration with the Administrative Coordinator and the rules and regulations for using a Purchasing Card.
