Day in the LifeThe Corporate Meetings & Incentive Planner, under the leadership of the Senior Manager, Travel & Events, will support The Friedkin Group, Gulf States Toyota, and affiliated businesses in the planning and execution of strategic meetings, corporate events, and incentive programs. This role requires a highly collaborative, detail-oriented planner with exceptional organizational and customer service skills.The Planner will lead end-to-end coordination of multiple high-impact programs, from sourcing venues and negotiating contracts to managing attendee logistics, budgets, and on-site execution. By consistently delivering exceptional event experiences, this individual will be a trusted partner to internal stakeholders and external vendors alike. This position requires strong time management, the ability to multitask under pressure, and availability for travel. As a Corporate Meetings & Incentive Planner, you will:Plan, contract, and execute events, meetings, and incentive trips that support business goals and strengthen employee and client engagementLead discovery discussions to understand stakeholder objectives and design events that reflect brand, budget, and business needsBuild project timelines, manage key deliverables, and coordinate across vendors and internal teams to ensure program successConduct venue sourcing, site visits, and service evaluations; recommend venues based on program needs and negotiate best-value contractsManage all aspects of attendee registration, hotel rooming lists, air/ground transportation, manifests, and program communicationsCoordinate audio/visual requirements, production needs, food and beverage selections, and all on-site/off-site activitiesProvide white-glove service to attendees, including on-site hospitality, troubleshooting, and VIP handlingExecute financial oversight for each event"”track budgets, review and reconcile invoices, recover deposits and unused credits, and ensure all expenses align with internal billing requirementsDeliver post-event reports and KPIs for analysis and future planningPartner with the Senior Manager, Travel & Events to develop and implement process improvements and new technologies that drive efficiencyRepresent the event function professionally across departments and support additional programs as needed What We Need From YouBachelor's Degree required3-4 years of experience in event management, corporate meetings, or incentive program planningExperience working with corporate stakeholders, C-suite leaders, and external vendors to deliver complex event programsProven ability to manage multiple programs simultaneously under high-pressure deadlinesStrong negotiation skills and contract management expertiseExcellent written and verbal communication skills; ability to present to leadership and interface with diverse audiencesProficient in Microsoft Office (Word, Excel, PowerPoint); knowledge of CVent and a plusDeep understanding of travel, hospitality, and event production logisticsDemonstrates strong customer focus, professionalism, and adaptability in fast-paced environmentsComfortable with frequent travel, evening and weekend work as required for program deliveryMust have a valid driver's license and current passport Physical and Environmental RequirementsThe physical requirements described here are representative of those that must be met by an associate to successfully perform the essential functions of the job. The associate is regularly required to move about the office and around the corporate campus. The associate must frequently move up to 10 pounds and occasionally move up to 25 pounds.
