Capitol Dental Care (CDC) is a capitated, value-based care program in Oregon. CDC partners with coordinated care organizations to deliver dental services under the Oregon Health Plan, focusing on preventive care and improving both oral and systemic health for children and low-income patients since 1994. We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative and clerical support to ensure efficient office operations. This role requires excellent communication skills, the ability to multitask, and a proactive approach to problem-solving. Key Responsibilities: Administrative Support: Perform general administrative tasks such as filing, data entry, and document management. Manage calendars, schedule appointments, and coordinate meetings. Prepare reports, presentations, and correspondence as needed. Maintain office supplies inventory and place orders as necessary. Communication & Coordination: Act as the primary point of contact between internal/external stakeholders. Facilitate communication across teams and departments to ensure smooth workflow. Office Coordination & Organization: Assist in organizing office operations and procedures. Ensure proper maintenance of office equipment and coordinate repairs when necessary. Support event planning and coordination of company meetings, luncheons, or other activities. Assist in planning and executing special projects and company initiatives Record Keeping & Compliance: Maintain accurate and up-to-date records, databases, and files. Assist in ensuring compliance with company policies and procedures. Ensure Compliance with HIPAA and PHI Regulations: Maintain strict adherence to HIPAA (Health Insurance Portability and Accountability Act) guidelines and safeguard Protected Health Information (PHI) by ensuring confidential patient data handling and storage practices. Qualifications & Skills: High school diploma or equivalent (Associate's or Bachelor's degree preferred). Proven experience as an Administrative Assistant or in a similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software. Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to handle sensitive and confidential information with discretion. Detail-oriented and able to work independently as well as in a team environment.
