Who We Are:The Sensor System and Nondestructive Evaluation (NDE) Technology team is comprised of engineers, scientists, and technicians who develop sensor systems and inspection methodologies to assess the serviceability of a variety of structures from deep sea to deep space.Objectives of this Role:Prepare reports, proposals, and forms using electronic and hard copy versions, including editing and proofreading.Develop and maintain document templates in accordance with customer requirements.Support the engineers, scientists, and technicians within the section with correspondence, arranging complex travel to include international, arranging client meetings and related duties.Lead the Section's document management/tracking functions to ensure compliance with internal quality standards and customer requirements.Interface daily with staff and visitors, as well as various departments/divisions at SwRI headquarters in San Antonio, TX such as Expense Accounts, Accounting, Travel, Purchasing, Communications, and Contracts.Work with Section Management to coordinate the operation of a 20-person team executing a diverse set of projects.Daily and Monthly Responsibilities:Assist staff with organizing information and project information on spreadsheets.Work with limited supervision; setup projects; maintain project documents in an organized manner.Prepare purchase requisitions, project detail sheets, expense reports, and travel authorizations accurately.Assist other administrative professionals as required in team working environment.Format and review technical reports and proposals to ensure consistency and correctness.Assist Section Manager with coordination of the day-to-day operations of the section as well as suggest improvements to increase efficiency and productivity.Requirements:Requires a high school diploma or equivalent15+ years of experience working as administrative coordinator in an office settingMust have excellent spelling and grammar skillsMust be proficient with MS Word or other word processing software to edit and format technical reports, incorporate graphics, and prepare data tablesExperience with other software suites, such as Microsoft SharePoint and Teams.Must be able to format large documents with graphics, equations, and tables; skilled with graphics packages, MS Excel, PowerPointStrong organizational skillsWork accurately under pressureMust be able to handle multiple assignmentsAvailable for overtime as requiredAbility to prioritize workExcellent interpersonal skillsAttentiveness to detail is a mustAbility to manage schedules and travel arrangements for staff.Able to work independently to achieve administrative objectives.A valid/clear driver's license is required
