The Proposal/Marketing Coordinator will assist the Business Development/Marketing department with its Design-Build pursuits and marketing efforts. The Proposal/Marketing Coordinator must be organized and be able to manage multiple responsibilities while meeting strict deadlines. The Proposal/Marketing Coordinator will be working with various departments and teams. The Proposal/Marketing Coordinator will be involved throughout the proposal lifecycle, assist with marketing needs, and provide support for business development. II. EDUCATION/CERTIFICATIONSBachelors degree in related field (e.g., marketing, business, communications, graphic design)2-3 years of relevant experience (e.g., proposal or marketing experience in A/E/C or other industry) III. KEY RESPONSIBILITIESReview RFIs/RFQs/RFPs for proposal production/documentation guidelines and work with the Proposal Team to develop production schedules, PMP and proposal work planPrepare and review drafts/templatesProvide administrative support to the Business Development/Marketing department, such as scheduling meetings and tracking the completion of proposal assignmentsAttend proposal status meetings and coordinate forms internally and with subcontractors/subconsultants as neededCollect, track and update database with information for project pursuitsDraft, review and edit personnel resumes (InDesign)Draft, review and edit project sheets (InDesign)Coordinate and save updated proposal content to support proposal effortsRecord action items during proposal color reviews and weekly check-in meetingsAssist with fatal flaw review and final proposal production (binders, tabs, covers)Assist with content/graphic editing in InDesign for RFP and style/branding guide complianceAssist with development of marketing collateral and presentationsProofread, edit, and standardize proposal text for proper grammar, spelling, comprehension, and styleProvide input on layout, design and document feel to ensure a quality marketing productSupport the Marketing Team with content creation and asset managementOccasional long hours requiredIV. QUALIFICATIONS OF THE POSITIONStrong administration, coordination, and organizational skillsHigh level of attention to detailAbility to meet deadlinesProficiency in Microsoft Office (PowerPoint, Word, Excel, Outlook)Proficiency in Adobe suite preferredBasic understanding of A/E/C industry terminology preferredBasic understanding of the organization preferred
