POSITION SUMMARYVision Roof Services is seeking a detail-oriented and proactive Office Admin to be the first point of contact for clients and partners. As the first point of contact, you'll handle phone and email communications, follow up on proposals, and even close deals over the phone to support business growth. The ideal candidate will provide essential support to the office and team while helping drive sales through strong customer interactions. By continually optimizing our standard operating procedures, we aim to replicate our successful business model, facilitating immediate and seamless expansion into new markets.PERFORMANCE OBJECTIVESAnswer all incoming calls to Vision's main line promptly and professionally, adhering to Vision's positive and courteous standards.Act as the first point of contact for clients, creating a welcoming and professional experience.Ensure all incoming calls are properly routed or addressed, and document call details as necessary.Return all missed calls promptly and professionally, ensuring no communication goes unanswered.Serve as the primary administrator for Cardone University, monitoring daily participation and usage of Cardone University by all team members.Conduct follow-up calls with clients regarding proposals, addressing inquiries and ensuring customer satisfaction.Maintain accurate and detailed client communication records within Vision's CRM (Buildertrend).Act as the administrator for JDP relations, ensuring seamless call capturing and scheduling.Collaborate with the General Manager to oversee and improve the JDP client interaction process.Provide comprehensive administrative support to the CEO and General Manager, including scheduling, correspondence, and any other related tasks..Assist in preparing reports, presentations, and other materials using Excel, PowerPoint, and other tools.Manage and maintain an organized and efficient office environment.KEY COMPETENCIESAbility to handle phone and email interactions with professionalism, clarity, and a customer-first approach.Proficient in Buildertrend CRM, Excel, PowerPoint, ChatGPT, and other productivity tools.Ability to multitask and manage multiple responsibilities in a fast-paced environment.Hardworking, self-motivated, and eager to go above and beyond expectations.Highly detail-oriented with the ability to accurately track and manage information.A strong commitment to delivering excellent customer service and building positive relationships.Quick learner with the ability to adapt to changing priorities and technologies.Driven to grow personally, professionally, and financially within Vision Roof Services, aligning with our commitment to excellence and expansion.EDUCATION AND EXPERIENCEBachelors Degree (Preferred)1-2+ years of Office Admin role or equivalent.Must be proficient in Microsoft Office Suite (Excel, Word, PowerPoint), CRM software, and other administrative tools.PHYSICAL REQUIREMENTSPeriods of sitting, standing, and walking in the officeCOMMITMENT TO DIVERSITYAs an equal opportunity employer committed to meeting the needs of a multigenerational and multicultural workforce, Vision Roof Services recognizes that a diverse staff, reflective of our community, is an integral and welcome part of a successful and ethical business.
