Last year, the Festival welcomed over 110,000 attendees to its iconic concert series, which has featured legendary artists like Chaka Khan, The Flaming Lips, Patti Smith, Bob Moses, Phil Lesh & Friends, Ziggy Marley, Herbie Hancock, and many more.As a cultural cornerstone of the Bay Area, Stern Grove Festival remains committed to making music accessible to all while celebrating artistic excellence and community connection.Reporting RelationshipsThe Admin & HR Assistant reports to the Director of Business Administration and closely works with the Executive Director and all other departments of the organization.Position SummaryThe Admin & HR Assistant plays a vital role in supporting both Human Resources and Business Administration, ensuring smooth day-to-day operations. This position provides administrative support to all departments, assists with HR functions, and contributes to organizational efficiency. The ideal candidate is detail-oriented, proactive, and capable of managing multiple tasks in a fast-paced, event-driven environment.Key ResponsibilitiesHuman Resources Support:Assist with recruitment processes, including posting job listings, scheduling interviews, doing interviews, and onboarding new hires.Maintain employee records and ensure compliance with HR policies.Support payroll and benefits administration in coordination with HR Manager.Assist with employee engagement initiatives and training programs.Ensure HR policies and procedures are effectively communicated and implemented.Administrative & Business Operations:Provide general administrative support, including scheduling meetings, maintaining office supplies, and handling correspondence.Assist with financial and budget tracking, including invoice processing and expense reporting.Support the coordination of internal communications and record-keeping.Assist in maintaining organizational databases and document filing systems.Departmental Support:Provide cross-departmental support as needed, including assisting with production, marketing, development, and operations teams.Support event-related logistics, including coordinating meetings and facilitating communication across teams.Assist with donor and partner correspondence and data entry.Qualifications & Experience1-3 years of experience in administrative or HR-related roles, preferably in a non-profit or event-driven organization.Strong organizational and time-management skills with the ability to multitask.Proficiency in Google Suite and HR software preferred.Excellent communication skills, both written and verbal.Ability to handle sensitive information with confidentiality and discretion.A proactive and flexible mindset with the ability to adapt to changing priorities.Passion for the arts, live events, and community engagement is a plus.Physical RequirementsAble to lift/carry 40lbsAble to experience periods of extended standing, employees must be able to remain on their feet in a stationary position.Able to walk and climb considerable distances including on the hillside during the course of a work day.Grasp, lift, carry, push and pull heavy objects such as barricades, fencing, and carts.Stooping, crouching and kneeling is needed to place signage throughout the Grove.Listening and speaking ability is required.
