Join Our Team at ImageWorks Painting - Hiring a Commercial Production Coordinator!At ImageWorks Painting, we take pride in delivering top-quality work while supporting each other every step of the way. We're looking for a CommercialProduction Coordinator to help keep our painting and coatings projects organized, our teams on track, and our customers happy. In this role, you'll play a key part in making sure every commercial project runs smoothly "” from the moment a job is awarded to the final finishing touches.This coordinator position will assist our Commercial Production Manager in managing all types of painting projects that we do, primarily consisting of commercial repaint, new-construction commercial, along with some industrial coatings projects. Knowledge of the painting industry or a very strong knowledge of the commercial new construction industry is not required, but is greatly preferred.We work as a team here, which means that from time to time, we all pitch in to help wherever needed. Your daily, weekly, and monthly responsibilities may shift based on the needs of the team "” flexibility and teamwork are a big part of our culture!Key ResponsibilitiesGetting Jobs Ready (Job Prep & Planning)Work with our Production Manager, sales team, customers, and project software to gather all the details we need to start a job.Double-check project plans, specs, and proposals to make sure they match the current scope of work.Review job documents to spot any special requirements "” like safety rules, special equipment, or adjusted work hours.Keeping Everyone Connected (Coordination & Communication)Set up dedicated Slack (Project Software) channels for each job to keep files, notes, and updates in one place.Generate project budgets and share them with managers.Scheduling & Equipment CoordinationStay in touch with customers to follow their construction schedules and visit jobsites to help set start dates.Add start dates to our production calendar and keep everyone (PM, crews and customers) in the loop.Order paint and equipment, and work with our asset manager to make sure crews have the right tools and equipment ready to go.Keeping Records Straight (CRM Management)Enter and update all customer and project details in Zoho CRM so everything's easy to find and up to date.Supporting Projects in ProgressMake sure job Slack channels are updated and that crew managers are keeping job info current.Stay connected with crews and customers to manage any schedule changes.Attend job meetings when needed and handle any change orders that come up "” making sure they're signed and saved.Track work hours using exaktime (software) and confirm crew managers are clocking in correctly (and getting sign-offs when required).Work with estimators and crews to make sure any extra work is priced correctly.Help the billing team gather project details so invoices are accurate and sent on time.Update project statuses and details in Zoho CRM every day.Closing Out Completed JobsWork with customers to schedule final punch list work and make sure they're happy with the results.Coordinate with the shop manager to pick up equipment and any leftover materials like paint.Close out job files in Slack, take final photos, and update everything in Zoho CRM.Let the billing team know when a job is fully complete and send over all necessary documents for final invoicing.Extra Team ResponsibilitiesSchedule and lead regular performance reviews for field managers and crew members.Work with HR and our Safety team to handle any jobsite safety issues or personnel concerns.What We're Looking ForExperience in production management, construction coordination, or a similar role.Excellent organizational, time management, and multitasking skills.Strong communication and people skills "” you'll be working with lots of different teams and customers.Comfort using tools like Excel, Zoho CRM, Slack, and exaktime (or a willingness to learn!).Familiarity with construction processes and schedules.Great attention to detail and the ability to spot special job requirements before they become problems.Knowledge of safety standards is a plus.Painting industry knowledge is a plus.Occasional day travel, overnight travel, or multi-day travel is required from time to time.Ready to Join Us?If you love keeping projects on track, enjoy working with a great team, and want to be part of a company that values quality and teamwork, we'd love to hear from you!
