Our goal is to become an industry leader by delivering high-quality inquiries at competitive prices, positioning ourselves as trusted partners"”not just vendors.What You Need for This PositionHigh School Diploma or GEDA true self-starter with a proactive mindsetStrong strategic planning and critical thinking skillsExceptional attention to detailMinimum of 2 years of experience as an assistant in office, personal, or administrative rolesHR skills, including posting job descriptions, sourcing resumes, and scheduling interviewsExcellent organizational skillsProficiency in Microsoft Office (Word, Excel, PowerPoint) and understanding of MAC computersValid driver's license and reliable transportationData entry experienceOutstanding written and verbal communication skillsAbility to create clean, accurate reports and logsQuick learnerExperience in taking meeting notes and presenting information effectivelyAbility to thrive in a very fast-paced environmentWhat You Will Be DoingProvide comprehensive support to the CEO, COO, General Manager, Intake Manager, and Quality Assurance Manager with various tasksManage all vendor relationships and communicationsHandle scheduling, including meetings, interviews, and appointmentsPerform filing, scanning, labeling, and organizing tasks to maintain an efficient officeConduct quality control of agreements sent by the intake teamMail physical agreements to individuals unable to sign electronicallyRetrieve mail from the mailroom, scan documents, and distribute to designated attorneys' officesEnsure the office fridge and cabinets are consistently stocked with food, drinks, and coffeeOrder drinks, snacks, and supplies (via Amazon or other vendors) when inventory is low, managing inventory levelsOversee recruiting efforts, including posting job descriptions, sourcing resumes, and scheduling interviewsSet up and prepare the conference room before meetingsMaintain a tidy and clean office environment, including the kitchen, storage room, and conference rooms throughout the dayTake detailed meeting notes and present key insights or action items to leadership and teamsThrive in a fast-paced environment, managing multiple priorities efficiently while maintaining accuracy and professionalismAssist upper management with preparing reports, logs, and presentations as needed
