Job Title: Administrative Assistant / ReceptionistPosition: Part-Time, Temp to HireLocation: Ventura, CA (Onsite)Schedule: Monday, Wednesday, Friday | 9:00 AM - 3:00 PMJob Overview:We are seeking a reliable and organized Admin Assistant / Receptionist to join our team part-time. This role is essential to supporting our operations and delivering an exceptional customer experience. The ideal candidate will have strong organizational skills, excellent communication abilities, and the ability to work well in a fast-paced environment. This is a temp-to-hire position, with the potential for full-time opportunities for the right candidate.Key Responsibilities:Reception & Customer Service: Greet and assist customers who visit the showroom, providing a welcoming and professional atmosphere.Phone and Email Communication: Answer phone calls and emails, provide information on rental options, and direct inquiries to the appropriate department.Appointment Scheduling: Schedule and coordinate showroom appointments, ensuring proper communication with both customers and the team.Administrative Support: Provide administrative assistance to the customer pickup coordinator and assist with data entry and filing as needed.Point of Rental System: Learn and use our rental management system to assist with processing rental orders, bookings, and customer information (training provided).Outlook Management: Manage Outlook calendar and communications for scheduling purposes.Event Coordination Support: Assist with event logistics and day-of operations during peak event seasons.Ideal Candidate:Strong Organizational Skills: Ability to manage multiple tasks, handle phone calls, and respond to customer inquiries in an efficient manner.Attention to Detail: Ensure all appointments, rental details, and customer communications are accurate.Tech-Savvy: Comfortable using Outlook, learning new software (such as Point of Rental), and handling customer information digitally.Dependable & Professional: Ability to maintain focus during busy periods and maintain professionalism while interacting with clients.Work Ethic & Team Player: Willingness to learn and collaborate with other team members, especially during peak season.Qualifications:Previous experience in customer service or administrative roles preferred.Proficiency with Microsoft Outlook (email, calendar management).Ability to learn and adapt to new systems quickly (training on Point of Rental system will be provided).Strong communication skills, both verbal and written.Must be available to work on Mondays, Wednesdays, and Fridays, from 9:00 AM to 3:00 PM.Previous experience in event planning, rentals, or related fields is a plus.Benefits:Part-time position with the possibility of transitioning into a permanent role.Fast-paced, seasonal work environment with an opportunity to be involved in exciting events.Desired Skills and ExperienceCustomer ServiceAdministrative SupportReceptionist DutiesAppointment SchedulingMicrosoft OutlookPoint of Rental (or Rental Management Software)Event CoordinationData EntryMultitaskingPhone EtiquetteEmail CommunicationTime ManagementProblem-SolvingTeam CollaborationOffice AdministrationCalendar ManagementOffice OrganizationConflict ResolutionCRM Software (if applicable)Event Logistics SupportAll qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
