Coordinator, ProgrammingDescriptionConcordia is a nonprofit, nonpartisan, member-based organization dedicated to actively fostering, elevating and sustaining cross-sector partnerships for social impact. As the preeminent nonpartisan forum and the biggest event that is taking place alongside the United Nations General Assembly, the Concordia Annual Summit in New York convenes top influencers and decision makers through action-oriented programming. With a focus on the Americas, Europe, and Africa, Concordia's Regional Summits explore the role of regional affairs in international relations. By providing an international platform, these summits elevate unique cross-sector perspectives and identify the support of the international community.The Programming Department produces powerful convenings that elevate voices and perspectives from across all sectors and levels to advance critical conversations around globally-impacting issues. From the Annual and Regional Summits to smaller year-round member events, the department oversees all aspects of Concordia's events, from confirming speakers and creating sessions to running the logistics.ResponsibilitiesReports to the Director, Programming.Responsible for managing critical operational functions while liaising between the Programming, Partnerships, and Executive Office teams in the lead-up to and during Concordia's Regional and Annual Summits.Prepares briefing materials and supports coordination efforts for the Programming Team and Executive Office check-ins leading up to and during Concordia's Summits.Regional Initiatives & Event ProgrammingSupports the development and execution of Concordia's Regional Initiatives, assisting with programming logistics and event coordination.Assists in stakeholder outreach and engagement, coordinating with foreign delegations, multilateral representatives, and regional officials to facilitate participation in Concordia's programming.Works with the Programming team to help identify and track potential speakers and partners for regional and annual summits.Assists in the coordination of Concordia dinners, receptions, and roundtables, ensuring smooth execution and strategic participation.Supports the development of briefing materials and engagement documents for speakers, moderators, and key stakeholders.Attends meetings with members, partners, and sponsors, taking detailed notes and tracking follow-up actions.OperationsParticipates in weekly check-ins with Programming, Partnerships, and Executive Office teams, providing updates and deliverables.Manages and maintains Programming tracking systems, ensuring alignment with Partnerships and Executive Office databases.Oversees invitation processing and speaker confirmation workflows, coordinating closely with internal teams.Leads Salesforce management for the Programming team, ensuring accurate data entry and tracking of stakeholder engagement.Assists with speaker data cleanup in collaboration with the Registration team.Monitors programming design for inclusivity and representation, ensuring diversity in gender, race, geographical balance, and political perspectives.RequirementsBachelor's degree in relevant fields and 1+ years working experience in international conferences or global affairs forums.Passionate about Concordia's mission and actively informed on foreign policy issues, current affairs, and the social impact space.Experience working with high-level contacts, budgets, strategic recruitment and comfortable interacting with high-profile cross-sector leadership.Demonstrated ability to take initiative, assume responsibility, solution solve and respond flexibly to changing demands.Excellent project management skills and attention to detail with the ability to see big picture strategic planning.Deadline-oriented and calm under pressure.Strong listening and verbal/written communication skills with the ability to tailor messages to various audiences, both internally and externally.Proficiency in Microsoft Word, Excel and Google Suite required, experience with InDesign, WordPress, and/or Salesforce preferred.Willingness to work late nights and weekends in lead up to special projects and international events.Foreign language skills a plus.BenefitsFifteen (15) Vacation Days per year, ten (10) sick days per year and two (2) personal days per year.Work with a dynamic team of passionate professionals working daily on a wide array of projectsConcordia Summit is committed to creating a diverse environment and is proud to be an equal opportunity employer.
