OverviewThis job contributes to REI's success by efficiently and accurately processing the company's in-house payroll. This position is instrumental in working with Accounting and Human Resources departments to support our pay and financial practices. Assists in the organization, review and processing of forms associated with federal, state, and local authorities. The Sr. Payroll Specialist works closely with the Payroll Manager on process review and higher-level payroll issues. Relies on extensive experience and judgment to plan and accomplish department goals. At times, acts as a lead to the Payroll Specialist II and Payroll Specialist I positions.Responsibilities and QualificationsPrepare and processes in-house bi-weekly/weekly payroll of 14,000+ employees in 45 states using Ultimate Software or other Payroll processing systemsCreating reports using the Business Intelligence within the HCM SystemProcess bi-weekly/weekly payroll for all employees, ensuring accuracy and compliance with company policies and government regulationsEnsure compliance with federal, state, and local payroll tax laws and regulationsKnowledge of processing Union weekly payroll and CBA'sMaintain all payroll related data ensuring the highest level of accuracy and confidentialityResearch, investigate and resolve payroll discrepancies by collecting and analyzing informationConfirm and/or submit quarterly and annual tax reports/statements generated by Ultimate Software (state tax reports, 940s, 941s, W-2s, etc.)Maintain up-to-date knowledge of changes in payroll and tax compliance laws (US, State, and Local)Review, reconcile and enter timesheet corrections for each pay periodFollow up with Employees for Time and Attendance submissionsMaintain, enter and audit new or modified informationRespond timely and professionally in response to employee and manager questions, Issues and escalationsAssists in payroll general ledger accounts reconciliations where applicableManage employee child support, levies, garnishments, etc. for compliance.Process off cycle pay runs and process manual checks when requiredFollow policies and procedures; make recommendations for changes in polices/procedures to increase efficiencyReview and resolve payroll discrepancies in a timely and accurate manner, take appropriate actions to determine root cause and prevent similar issues from occurring Maintain the highest level of confidentiality and protection of all payroll and employee related data/informationAssist team members as needed to meet department deadlines and commitmentsQualifications5+ years general payroll experienceProven experience with payroll tax reporting in a multi-state environment or ability to achieve proficiencyExperience with MS Office products with strong proficiency with Excel (vlookup, pivot tables)Experience with state internet file upload programsProficient with ten-keyDetail oriented, able to set priorities, and handle multiple tasks efficientlyExperience with Ultimate Software UltiPro Payroll systemsActively participates and collaborates with others on ones own team and across REI for the achievement of business goalsUses business knowledge, innovative thinking, and sound judgment in the solution of problems or the pursuit of business opportunitiesConsolidates information from various sources including feedback from others to reach sound decisionsWorks smart by setting effective work goals, establishing priorities, and planning well in order to produce quality work ClosingAt REI, we believe the outdoors is for all.
