The Document Control Manager is responsible for overseeing the creation, management, distribution, and storage of all documentation related to food safety, quality assurance, and regulatory compliance within the food industry. This position ensures that all processes and systems involving documentation are aligned with industry regulations, corporate policies, and customer requirements. The role also involves establishing effective document control systems to improve accessibility, accuracy, and compliance.Key Responsibilities:Document Management and ControlDevelop and implement robust document control procedures and systems to create, issue, update, and archive all documentation related to food safety, quality, and production.Maintain records such as Standard Operating Procedures (SOPs), safety policies, batch records, certifications, and audit reports to ensure alignment with local and global food industry regulations (e.g., FDA, USDA, ISO 22000, BRC).Regularly review and update documents to ensure accuracy, relevance, and compliance with regulatory and customer requirements.Regulatory and Certification ComplianceCollaborate with quality assurance and regulatory teams to ensure that all necessary documentation aligns with standards such as HACCP, SQF, GFSI, or industry-specific compliance programs.Serve as the liaison during internal and third-party audits, providing requested documents in a timely and organized manner.Process Standardization and Continuous ImprovementDrive process improvements by identifying redundancies or inefficiencies in document management and quality processes.Establish guidelines and tools for clear and consistent documentation practices across departments.Work cross-functionally to train teams on proper documentation protocols and ensure compliance with established procedures.Software and System ManagementOversee the administration and maintenance of electronic document management systems (EDMS) for storing, retrieving, and managing documents.Ensure proper version control and secure access to sensitive documentation.Stay updated on emerging technologies to improve document control efficiencies.Training and Employee EngagementConduct training sessions for staff on document control procedures, regulatory requirements, and quality compliance expectations.Provide ongoing support for employees to resolve documentation-related issues and ensure adherence to quality and safety protocols.Cross-Functional CollaborationPartner closely with production, quality assurance, R&D, and operations teams to align documentation with business goals.Assist in managing critical customer-facing documentation, such as specifications, certifications, and compliance declarations.Required Qualifications:Education:Bachelor's degree in Food Science, Quality Assurance, Business Management, or a related field.Experience:3-5 years of experience in document control or quality management within the food manufacturing or processing industry.Proven experience working with food safety systems (e.g., HACCP, SQF, or BRC).Skills and Competencies:Proficiency in document management software and tools (e.g., electronic document management systems like SAP, SharePoint, or similar platforms).Strong organizational skills with attention to detail and accuracy.Excellent verbal and written communication skills to interact with cross-functional teams and external auditors.Ability to manage multiple priorities and meet regulatory deadlines under pressure.Apply now!
