Title: Senior Administrative ManagerLocation: Darien, CT 06820 (It's onsite job, looking for local within 45 minute commute)Salary: $65 to $75k (based on experience, with full benefits)Job description:Ultra Pure, the leading bulk alcohol supplier to the beverage and specialty industrial markets, based in Darien, CT is looking for a motivated, experienced senior administrative manager to work with our President and COO. We seek a team-oriented person to manage the administrative functions including general office administration, human resources (benefit programs), insurance and executive travel and expenses as well as any other executive team needs. This position reports to our Chief Operating Officer. Due to strong continued growth, we are looking for an individual who is a self-starter, possesses a willingness to learn, motivation to succeed, and thrives in a fast-paced environment and working with people.REPORTS TO: Chief Operating OfficerRESPONSIBILITIES INCLUDE:• Provide comprehensive administration support to COO and President through the maintenance and coordination of calendars, meetings, conference calls, and board meetings.• Organize and process expense reports for COO and President.• Oversee detailed itinerary arrangements for both domestic and international flights.• Regular conference room management and meeting scheduling.• Execute all aspects of Human Resources including but not limited to employee on and off boarding, healthcare administration, HSA enrollments, 401k enrollments, state labor training requirements and documentation. Manage and maintain all employee files both electronic and paper.• Track vacation and CT Family medical leave.• Maintain and update personnel handbook and procedures, as well as employment compliance.• Responsible for all corporate Insurance policies - including annual audit and renewals.• Workman's compensation - annual renewal and audit.• Quarterly and Annual census reporting.• Responsible for all Office Management including but not limited to supply and kitchen ordering, posting annual holidays, adding and maintaining them in Outlook, direct liaison to IT and Telecom.• Create and monitor the annual budget for office supplies, employee costs (birthdays, work anniversaries, company lunches, bi-annual company parties), postage and shipping, shredding and equipment leases.• Help navigate and manage reporting needs for the executive team from staff.KEY QUALIFICATIONS:• Bachelor's degree in business, management or communications.• 3-5 years of executive administrative experience in an entrepreneurial environment.• 3-5 years' experience managing private company Human Resources, and Employee Benefits programs.• Excellent organizational and administrative skills - ability to multi-task.• Excellent communication and interpersonal skills.• Strong analytical and problem-solving skills.• Ability to take responsibility, work independently as well as with cross-functional teams (sales, operations, finance, etc.).• Proficient in Microsoft Office and Excel with aptitude to learn new software and systems.• NetSuite experience is beneficial but not required.
