Job Overview:We are seeking a proactive and detail-oriented Assistant Client Relations Manager to support our client relations team in delivering exceptional service. This individual will assist in managing client accounts, ensuring client satisfaction, and maintaining strong relationships to drive business success. The ideal candidate will have excellent communication skills, a customer-first mindset, and the ability to handle multiple tasks in a fast-paced environment.Key Responsibilities:Client Relations:Assist in managing client accounts, serving as a primary contact for inquiries, concerns, and requests.Provide prompt and efficient resolutions to client issues.Build and maintain strong, long-lasting client relationships by understanding their needs and providing tailored solutions.Maintain accurate records of client interactions, service requests, and follow-up actions using CRM software.Track and report on client activity and satisfaction.Communicate with clients via phone, email, and in-person meetings to ensure seamless interactions and continuous improvement of service delivery.Collaborate with the account manager to ensure client needs are met and assist in the development of strategic plans.Assist in resolving any issues that may arise, ensuring client satisfaction and timely resolution.Provide regular updates to the Client Relations Manager on client status, service feedback, and ongoing concerns.Handle administrative tasks such as preparing reports, scheduling meetings, and assisting with contracts or service agreements.Office Services Responsibilities:Office Coordination: Assist with daily office operations, including overseeing office supplies, equipment maintenance, and ensuring the office is well-stocked for client meetings or events.Meeting Coordination: Support the scheduling and preparation of meetings, including organizing conference rooms, arranging technology setups, and coordinating catering or other special requests.Documentation & Filing: Manage both digital and physical filing systems to ensure easy access to client-related documents, contracts, and agreements.Client Visits: Assist in organizing and welcoming clients during on-site visits, managing visitor logs, and providing administrative support during meetings.Event Support: Help organize company events, client appreciation activities, and networking events, ensuring all logistics are handled efficiently.Vendor Management: Liaise with office service providers, such as cleaning staff, maintenance services, and technology vendors, ensuring smooth operations within the office environment.Client Communications Support: Prepare and proofread client correspondence, reports, and presentation materials.Internal Collaboration: Provide general administrative assistance to internal teams, including office scheduling, report preparation, and communications.All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability, or status as a protected veteran.
