In other words, you share our corporate values "” passion, work ethic, teamwork, integrity, and ownership mindset.Responsibilities · Prepare and send gifts to investors on an ongoing basis. · Prepare and email quarterly letters, various investment notices and packages, and annual tax documents. US mail and overnight shipping in addition to email.· Assisting the Operations Team with CRM and other systems - launching new projects, closing out existing projects, etc. · Utilize CRM (Juniper Square/Agora/Hubspot) to complete a wide range of tasks, including but not limited to entering meeting notes, updating investor contact information, and uploading documents.· Help with preparing for investor events with tasks including set up, take down, and creating nametags and materials.· Perform the preparation, editing, and formatting of general correspondence through word processing and spreadsheet tasks. Also, audits of previous and current projects.· Format and proofread documents. · Prepare and assemble reports, company materials, and client documents, as directed.· Manage and prioritize incoming workflow to meet all deadlines in a deadline-focused environment.· Track equity raise-ups including initial processing of investment deposits.· Monitor, process and delegate email correspondence with investors through a shared inbox with the Operations Team.· Answering calls from staff and investors and processing their requests and needs.· Record meeting minutes in meetings internally.· Creating and updating department SOPs regularly.· Workflow processing for new investor opportunities from start to finish. Working with other departments to make sure all parts are moving along in the process (brochures, legal documents, bank accounts and logins are prepared, wire instructions created, etc.) · Assisting with the subscription and accreditation process as a back-up as needed.· Assisting the Senior Vice President of Equity with administrative tasks as needed.· Other duties as assigned.Education:Bachelor's degree preferredHigh School Diploma or GEDExperience:3-5 years of office administration or coordination work preferred.Skills/Abilities:Strong interpersonal, oral and written communication skills.Computer skills: Adobe InDesign, Microsoft Work & Excel, e mail and social media as it pertains to marketing the property.Must be organized, detail-oriented, and have good time management skills.Entrepreneurial mindset - loves to be challenged, determined to win, puts clients and teammates first, collaborative, inquisitive, self-motivated, and operates on trust (not fear).High integrity - trusted, direct, truthful. Embodies confidence and admits mistakes.Ability to perform the physical functions of the position which may include lifting up to 20 pounds.
