Our customers are our primary concern, and we strive to develop long-lasting and meaningful relationships.Role DescriptionThis is a full-time on-site role for an Office Manager at TrueBuild Group, located in Palm Beach Gardens, FL. The Office Manager will be responsible for the following tasks:General Administrative Support: Provide comprehensive administrative support, including handling correspondence, managing documentation, and assisting with day-to-day office operations.Scheduling & Reminders: Organize and manage calendar invitations, scheduled meetings, and set important reminders for the owner and project team.Bookkeeping & Accounting: Manage daily bookkeeping tasks, including processing and tracking payments, maintaining accurate financial records, and reconciling accounts.Payroll Processing: Handle payroll processing for employees, including calculating hours, managing deductions, and ensuring timely and accurate compensation.Billing Management: Create, distribute, and monitor invoices to customers and subcontractors, ensuring timely payments and accurate billing.Subcontractor & Vendor Coordination: Oversee subcontractor management, including adding and verifying bills, requesting proposals, and coordinating payment schedules.Lien Releases & Notices: Monitor and manage lien releases and notices to owners to ensure compliance with legal requirements and protect company and client interests.Permitting & Inspection Requests: Coordinate with municipalities to process new permits, request and schedule inspections, ensuring project compliance with local regulations.QualificationsStrong Communication and Customer Service skillsExperience in Administrative Assistance and Office AdministrationProficiency in managing Office tasksExcellent organizational and multitasking abilitiesAttention to detail and problem-solving skillsKnowledge of construction industry practicesAssociates degree in Business Administration or related field is preferredQuickBooks experience is a mustPrevious experience in a construction company office is a plusMust be familiar with construction terminologies
