OPERATIONS ADMINISTRATORThe Operations Administrator is responsible for the coordination and administration of operational activities within the company, including developing and maintaining processes and procedures as well as overseeing the execution. The Operations Administrator also acts as a liaison between departments to ensure that operations are running smoothly and efficiently. In addition, they provide support to the Operations Manager in planning and executing projects.ESSENTIAL JOB FUNCTIONS:Prepares all documents and submits to the local governmental agencies for necessary permits for jobs to include drafting of site plans and other projectsConnect with local governmental agencies to set up inspections (building, fire, electrical) for ongoing projectsHandle all internal documentation required for all new jobsSubmits sales orders and purchase ordersKeeping track of inventory and ordering stock parts and equipment for installation crew vehiclesWorks with inventory staff to that the ensure appropriate equipment is ordered for the jobMaintain and update current project softwarePrepares walk through packets and warranty documents for the closing of all jobsAssist with keeping an open line of communication with customers and subcontractorsManaging and updating company databasesCoordinate job team members and resourcesDevelop job plans and timelinesCoordinate workflows and jobsTracks project progress and performance and prepare reports for managementRegular and punctual attendance at work and provides appropriate flexibilityAdherence to safety guidelines and policiesOther job-related duties as assignedQUALIFICATIONS:1-2 years of obtaining permits from governmental agencies experience is preferredDemonstrate a strong work ethic, exhibit reliability, and display flexibility in responsibilitiesPossess fundamental computer skills, including proficiency in Microsoft Office, while demonstrating a reasonable level of tech-savvinessAbility to perform independently as well as collaboratively within a team, and demonstrating a willingness to undergo on-the-job training as necessaryAs a condition of employment, employer will conduct a background check and drug screen prior to hireAbility to understand, speak and write EnglishEDUCATION AND CERTIFICATIONS:High School diploma, GED, or equivalentBENEFITS:Full Time employees eligible to participate in benefit programs including medical, dental, vision, and voluntary life insurance options.
