The Office Manager is responsible for providing comprehensive administrative support to the executives while performing a variety of administrative tasks and overseeing administrative functions of the office, consistently exercising independent discretion and judgment.Essential FunctionsDemonstrates advanced knowledge of business administration and office management.Must meet productivity standards set by President.Oversees and manages day-to-day office operations, including facilities management, supplies procurement, and equipment maintenance.Maintains organized and efficient office environment, ensuring a professional and welcoming atmosphere.Develops and implements office policies and procedures to improve operational efficiency.Provides administrative support to executives including managing calendars, scheduling appointments, and coordinating travel arrangements.Assists with preparing and formatting documents, presentations, and reports.Acts as liaison between executives and internal/external stakeholders, handling communications and inquiries.Provides guidance, training, and support to Executive Assistants, ensuring effectiveness in supporting executive team.Monitors workload distribution and assists in prioritizing tasks to ensure timely and accurate completion.Conducts performance valuations and provides constructive feedback to Executive Assistants.Coordinates and schedules meetings, conferences, and special events for executives.Coordinates logistics including venue selection, catering, audiovisual equipment, and other related services.Prepares meeting materials and agendas, and document minutes as required.Drafts and reviews correspondence, memos, and reports on behalf of executives.Ensures accurate and timely distribution of information to internal and external stakeholders.Manages executive email accounts and handles incoming communications in a professional and confidential manner.Demonstrates excellent oral and written communication skills.Must have exceptional organizational and time management skills.Demonstrates regular punctual attendance and adheres to policies and procedures.Required to be onsite a minimum of 5 days per week.Receives instructions, prioritizes tasks, and completes duties assigned by manager.Performs all duties following organizational chain of command.Performs other duties as assigned.Must present a professional office appearance.Ability to move around office, sitting for long periods of time, and ability to lift 5 lbs.Minimum QualificationsBachelor's Degree in Business Administration, Office Management, or related field.Five years' experience in office management or executive administration, preferably in corporate environment.Must have proficient ability to use standard office equipment such as computers, phones, photocopiers, scanners, and fax machines.Excellent ability to use Microsoft Word, Excel, and Outlook.
