ROLE OBJECTIVE:The Executive Assistant will provide high-level administrative support to the CEO and other members of the Leadership Team of the Connectivity Standards Alliance. Reporting directly to the CEO, the Executive Assistant provides a high-level of support in a one-on-one working relationship handling a wide range of administrative, organizational, and communication tasks. The Executive Assistant also serves as a liaison to the Board of Directors and Leadership Team; organizes and coordinates executive outreach and external relations efforts and oversees special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. Preferred candidate located in Davis or Bay Area California.KEY RESPONSIBILITIES:Executive Support and calendaring. Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the global operations of the company.Provide high-level administrative support to the CEO by managing their calendar, scheduling meetings, and prioritizing appointments as priorities shiftPrepare materials for meetings, coordinate presentations and reports, and ensure the CEO is well prepared for all engagementsHandle confidential and sensitive information with discretion and professionalismDraft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved withOrganize travel arrangements, flights, accommodations, and itineraries for CEO.Submit monthly expense reports on behalf the CEO Review and maintain CEO's inbox and ongoing action item list on a daily basisConserve the Executives time by reading, researching, collecting and analyzing information as needed, in advance. Project ManagementAssist the CEO with strategic projects, including tracking progress, timelines, and deliverablesCoordinate with other departments, committees, and stakeholders to ensure projects are on track and deliverables are metHelp management and prioritize key initiatives related to the organization's successMeeting and Event CoordinationOrganize and manage internal and external meetings, conferences, and events, including logistics, agendas, and attendee coordinationTake minutes during Board and Board Committee meetings, ensuring accurate documents and follow-up on action items, to be reviewed by General CounselEnsure all meeting materials are prepared in advance and distributed to relevant partiesCommunication and Liaison:Serve as key point of contact for internal and external stakeholders, representing the CEO with professionalism and courtesyMaintain positive relationships with Board Members, Senior Leadership, staff, and external parties and provide support.Craft, communicate, and manage the annual calendar and workplan for the Board and Executive CommitteePlan, Orchestrate & Manage Board and Executive Committee Meetings - define and execute a repeatable, consistent end-to-end process, including: Meeting administration - planning, set-up, reminders, and in-meeting management Agenda and content preparation - working with committee leaders, working group leaders and staff department leaders to define agenda, structure and to secure meeting content, aligning with legal, completing and distributing content and preparatory materials, finalizing all materials. Capturing meeting minutes and tracking actions - aligned with Alliance requirements and procedures. Own the planning and execution of Board/Executive Committee offsite events - including site support, facilities, F&B, activities, and related logistics.Help to define and shape effective leadership meetings and events - including proposing ideas, agendas, creative approaches and creating content.Oversee and orchestrate the process for Promoter member candidates from initial interest through new Promoter member onboarding, including: Scheduling, candidate prep, candidate presentations, feedback collection, and follow-up, including working with candidates to address open questions and reporting back to the ExCom/Board.New Promoter onboarding & training, in partnership with Legal and Governance OperationsSKILLS AND QUALIFICATIONS:Bachelors degree required5+ years of related experience required in working in an executive assistant role supporting C-Level executives.Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Slack, Signal, and Causeway.Excellent communication and time management skills; proven ability to meet deadlines.Ability to function well in a high-paced environment; performs additional duties as assigned by executives.Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.Somewhat flexible hours as dictated by the needs of business for projects and meetings.PREFERRED ATTRIBUTES:Business sense - has a strong business sense and can decipher priorities and make sound judgment calls when needed.Commitment to excellence - perform duties at the highest level possible on a consistent basis.Excellent communicator - able to interact with people of all levels in a confident, professional manner.Demonstrate ability and temperament to work with sensitive information.Team player - have team-oriented experience and approach.Service focus - dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships with interested parties.
