Position: Finance ManagerReports to: Director of Operations & FinanceStatus:Part-Time (19 hours/week), Non-Exempt, $35/hourWork Schedule: Tuesday and Thursday in-person at Harlem office. Mon, Wed, Fri, 1-2 morning remote hours.Basic Function / Position Objective:The Finance Manager is a key member of the Operations Department, overseeing the daily bookkeeping functions including processing bill payments, overseeing expense management system, reviewing transactions, receipts, and coding for accuracy, liaising with the National accounting team, staff training, and other finance tasks. This is a brand-new role that will help align systems and increase accuracy. The Finance Manager will be integrated into the operations team, participating in cross-functional and special projects as needed.Essential Functions and Responsibilities:Expense ManagementServe as the primary point of contact among the staff and leadership for finance related mattersReceive and input invoices into the expense management system for department approvalReview credit card transactions and reimbursement requests for receipt, coding, and description accuracy, and follow up with staff members if any changes are needed.Initiate payments for bills and reimbursements weekly, after department approvalsLiaise with Teampay Customer Success Manager and/or support team to assure smooth functioning of the platform and solve problems as needed. Expand use of Expense Management System to full capacity, including owning introduction of budget module, including setup, monitoring for accuracy, and training staff on use. Train staff on Expense Management System and help them troubleshoot as neededAssist in annual budgeting, aligning with the Sept 1 - Aug 30 fiscal year. Donation tracking· Check all income platforms/accounts daily and update spreadsheet and backup folder with any donations that have come in. Meet weekly with the Development Team to ensure all donations are recorded accurately Reconcile Development Platform reports weekly to your income spreadsheets.PayrollPull reports from ADP for payroll and benefits invoices. Liaise with HR Generalist to implement raise or cost-of-living increases annually. Act as backup payroll administer when HR Generalist is on leave. ReportingLiaise with National's accounting team weekly to ensure they have everything they need to run monthly financials, audits, etc. including uploading monthly reports to SharePoint. Ensure any coding changes recommended by National are approved by the Chapter and accurately reflected in all systems.Review monthly reports and attend review meetings with National Accounting Team, Executive Director and Board Treasurer. Prepare presentations and/or attend Board Meetings to report on financials as needed. Special Projects· Assist in cross functional and lead special projects as assigned. Essential Skills and Abilities:Exceptional interpersonal, written, and verbal communication skills. Excellent customer service skills and a positive, customer-oriented attitude demonstrated consistently with all contacts.Accomplished with QuickBooks Online, Blackbaud Financial Edge, Bloomerang, Google Suite, ADP TotalSource Zoom, Apple, or PC products. Exceptional number accuracy and attention to detail. Demonstrated ability to maintain confidentiality.Strong organizational and time management skills. Able to plan, organize, and implement projects and to follow up as required.Ability to present professional demeanor at all times.Excellent judgment, tact, and problem-solving skills.Demonstrated ability to take initiative, work independently with limited supervision, as well as to function successfully as a team player.Ability to effectively manage and prioritize several issues/tasks concurrently, meet deadlines, and communicate status effectively.Self-motivated and able to anticipate organizational needs.Required Education, Experience, and Abilities:Bachelor's degree or equivalent experience required. Five years' experience in bookkeeping, finance, or equivalent positions CB, CPB, CPA, or equivalent certification a plus!Offer contingent on passing full background check, including a drug test.
