The Role: The Facilities and Office Coordinator works cohesively with facilities and administrative team members and requires an upbeat, professional demeanor and communications skills. This is a full-time position Monday through Friday from 8am to 5pm, subject to change based on the needs of the company. The position is customer service focused and team oriented with capability to work independently and meet deadlines. Position requires time management and multi-tasking abilities, must be organized, flexible, resourceful, enthusiastic, and focused with excellent follow through abilities.Responsibilities: Facility ServicesCleans and maintains parking lots and grounds dailySet up and breakdown meetings and events (occasional evening hours required)Process maintenance request from Building SuperintendentsPerform routine building maintenance, such as repairing hardware, painting, replacing light bulbs, minor carpentry, plumbing and electrical/mechanical repairsOffice AdministrationCover front desk, greet visitors, answer, and direct inbound calls to main phone line and schedules courier servicesMaintain kitchenettes, locker-rooms, coffee and candy bar areas, stock supplies as needed and maintain cleanliness of counters and tablesMailroom ServicesOperate and maintain postage machine including supplies, services, reports, and funds.Receive, sort, and distribute mail.Retrieve, weigh, meter, and record outgoing mail in accordance with USPS guidelines.Pickup and drop off mail and packages at Roxbury, MA Post Office.Prepare outbound FedEx and UPS shipments.Assist with new hire setups and office relocations.Order supplies, Business Cards, and maintains amenities schedules.Qualifications: Graduation from high school and five (5) years of work experience in building maintenance or any equivalent combination of experience and training which provides the required knowledge, skills and abilitiesBasic computer skills including internet and Microsoft Office Suite programs (e.g., Outlook, Word, basic Excel).Requires a valid driver's licenseOSHA 10 hour and CPR / First Aid certified requiredAbility to maintain a detailed record keeping system and prepare correspondence relating to reports and inquiriesPhysical Demands and Working Conditions:Physical condition that will permit activities including, but not limited to, heavy lifting, pushing, stooping, climbing ladders, and working under adverse temperatures and/or weather conditions. While performing the duties of this job, the employee is regularly required to stand for long periods of time; talk or hear; perform fine motor, hand, and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stand; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. The employee will spend their time in an office environment with a quiet to moderate noise level.
