Position: Sr.Executive Administrative Assistant Location: Hoffman Estates, IL (In-Office/On-site M-F) Reports To: CEO Job Type/FLSA Status: Full-Time, ExemptJob Summary: We are seeking a highly skilled and experienced Senior Executive Assistant to provide strategic and administrative support to our executive leadership team. This role requires exceptional organizational skills, discretion, and the ability to manage complex tasks in a fast-paced environment. With you as part of our team, we can continue to grow as a company by living out our mission, vision, and values.Key Responsibilities:Executive Support: Provide high-level administrative support, dedicating 50% to the CEO and 50% to other senior executives, managing daily operations, correspondence, and scheduling.Calendar & Meeting Management: Coordinate and maintain complex calendars, scheduling/attending meetings, appointments, and travel arrangements while prioritizing urgent matters.Preparation & Coordination: Prepare briefing materials, agendas, and key discussion points for executive meetings, including one-on-one meetings with direct reports.Communication Liaison: Serve as a bridge between the executive team, employees, clients, and stakeholders, ensuring clear and professional communication.Project Management: Assist in the planning and execution of strategic initiatives, ensuring deadlines and deliverables are met.Travel & Event Coordination: Arrange domestic and international travel, accommodations, and logistics, as well as coordinate on-site and off-site executive events and meetings.Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism.Process Improvement: Identify and implement efficiencies in administrative processes to enhance executive productivity.Office & Administrative Oversight: Act as the backup for front of office, ensuring smooth day-to-day administrative functions and resource allocation.Qualifications & Skills:Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role.Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.Excellent written and verbal communication skills.Strong organizational and multitasking abilities.Ability to work independently with minimal supervision.Discretion and confidentiality in handling sensitive information.Exceptional attention to detail and problem-solving skills.Positive, can-do attitude.
