Job Title: Clerk, Accounts Payable - 33862Employment Type: 6 monthsPay Rate: pay rate to be $23.00/hr (The rate may be negotiable based on experience, education, geographic location, and other factors)Location: SUN VALLEY California 91352Schedule: This role requires onsite presence from 8:00 AM to 4:30 PM, Monday through FridayMust HaveMicrosoft ExcelNice To HaveCoupaMicrosoft 365Job SummaryProperly pays all accounts and posts invoices to provide accurate management reports.II. Essential Duties and ResponsibilitiesTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned.Payment ProcessingKey in Oracle Manual Payment requests to the system after verifying vendor information and coding.Follow up to ensure all approvers respond timely and confirm payment details.Track specific payments on the Franchise Fee log and follow up with Accountants on missing requests.Invoice ManagementReview pending invoices daily in the Coupa system for accuracy, including vendor details, amount, and billing string coding.Identify duplicates for rejection and/or work with the area to adjust POs for processing.Determine correct lines/POs for rejection/rebill where required.Follow up with Requestors/Managers to approve/create receipts timely to avoid late payments.Vendor SupportAssist Vendors in submitting invoices for processing, including identifying the correct submission process, portal, and PO/Requestor for submission.Review supplier AR statements to provide payment information and/or invoicing instructions.Work with Corporate Payables to locate invoices submitted directly by Vendors that have not been uploaded to Coupa for processing.Supplier and Procurement CoordinationWork with Procurement to get approval to submit new supplier requests.Connect vendors with the Supplier Support team for assistance with forms or portal access.Follow up with corporate approvers to move requests through approval levels.Track all submissions on a local vendor log and work with the area to generate new forms if requests time out due to inactivity.Month-End and Reporting TasksReview system invoices with the area to determine if accrual is required during the Month-End close period.Assist Accountants with preparing classes/accruals.Perform monthly Use Tax review and submission.IV. QualificationsA. Education and Experience:Required: High school diploma or G.E.D, and 0-4 years previous experience.Preferred: High school diploma or G.E.D, plus additional or specialized training, and 0-4 years previous experience.V.
