POSITION: Executive AssistantPOSITION SUMMARY: We are seeking an Executive Assistant to provide high-level administrative support to the President of Cross Street. The ideal candidate will be proactive, highly organized, and able to juggle multiple tasks with precision. They will have the opportunity to work closely with the President and help drive the success of various organizational initiatives.EXPECTATION FOR ALL EMPLOYEES: Supports the organizations mission and values by exhibiting the following behaviors: excellence and competence, collaboration, communication, innovation, commitment, accountability, and ownership.To thrive in this role, you should have a passion to learn and grow and be able to work well and inspire other team members.ESSENTIAL DUTIES & RESPONSIBILITIES: Email and Calendar ManagementClean, organize, and prioritize the President's inbox, ensuring timely responses and follow-ups.Maintain and manage the President's calendar, schedule meetings, and handle any changes or conflicts.Project ManagementUpdate and manage projects in Zoho CRM, confirming proper tagging and collaboration with the appropriate team members.Maintain a clear record of project statuses and key milestones.Organize and track ongoing projects, ensuring that all tasks and deadlines are met.Review meeting notes and prepare actionable items, making sure that all meetings lead to clear next steps.Follow up on lingering items and ensure that nothing is overlooked or delayed.Office Presence and CommunicationServe as the main point of contact for the President when he is in meetings and out of office.Provide any necessary administrative support to other team members or departments as needed.Handle confidential and sensitive communication with discretion and professionalism.Act as the liaison between Brokers/Employees and the President.Office ManagementMaintain a clean, organized, and functional office environment.Manage office supply inventory, place orders, and monitor usage.Unpack deliveries and incoming mail and maintain the office supply area.Assist with office cleanliness and tidiness.QUALIFICATIONS/SKILLS & KNOWLEDGE REQUIREMENTS:Bachelors degree in Business Administration, Communications, or equivalent work experience/related field.Minimum of 3-5 years of experience as an Executive Assistant, Administrative Assistant, or in a similar role supporting C-level executives.Proven experience managing calendars, scheduling meetings, and organizing travel arrangements.Strong experience in office management and maintaining office supplies.Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.Excellent written and verbal communication skills.Strong attention to detail and accuracy.Discretion and confidentiality in handling sensitive information.
