About the Role:As our Office Manager, you'll be the backbone of our operations, ensuring the smooth operation of our office and supporting our team in administrative tasks. You will work closely with all team members to coordinate activities, manage communications, and maintain accurate records. We're looking for someone who is detail-oriented, thorough, proactive, and professional"”someone who brings positivity, precision, and integrity to every task while keeping our office organized, efficient, and productive.Office Manager Responsibilities:Provide comprehensive support to the entire team at Lunova, ensuring that all members can operate at maximum efficiency by streamlining processes and facilitating effective communication.Keep the office well-organized by maintaining inventory levels, ordering necessary supplies, ensuring all materials are readily available for team use, and managing the mailing and shipping of packages as needed.Accurately record submissions, interviews and placement records in a timely manner, maintaining detailed records to support the recruitment process.Take charge of managing staff and team meeting notes, preparing activity reports, and updating process documents to ensure everyone has access to the latest information and can stay aligned on goals.Oversee the onboarding process for new hires, maintaining accurate employee contact information, and tracking important dates such as birthdays.Coordinate employee volunteering initiatives and community involvement efforts. Manage the acquisition and renewal of employee clearances, background checks, and necessary certifications to comply with regulatory requirements.Conduct thorough research to find contact information for prospective candidates.Assist with scheduling for the internal interview process, ensuring a seamless and efficient experience for candidates and interviewers.Perform audits to ensure the accuracy and integrity of placement records within our systems, maintaining detailed and up-to-date information.Assist the Marketing Manager with ordering promotional items and marketing materials, managing social media efforts, and providing general marketing support as needed.Coordinate opportunities for continuous learning and development for the team, organizing training sessions, workshops, and other educational activities to enhance team skills and knowledge.Format resumes to ensure consistency and standardization.Assist with various HR functions as needed, including benefits administration, disability claims, and workers compensation processes.Office Manager Requirements:Bachelor's degree is required.3+ years previous administrative, office management, or executive assistant experience is required.Strong work ethic and exceptional organizational skills, with the ability to manage office operations and administrative tasks seamlessly.Proven ability to handle multiple priorities, manage competing deadlines, and maintain attention to detail in a fast-paced environment.Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members at all levelsProactive mindset with the ability to work independently, anticipate needs, and take initiative without constant oversight.Familiarity with Microsoft Office and other relevant software; experience with CRM systems is a plus.A problem-solver who can think critically, streamline processes, and contribute to overall team efficiency.Compensation for this role is between $45K-$65K/yr, but negotiable based on experience.
