Job DescriptionSeeking a highly organized and proactive Office Coordinator to support daily office operations. The Office Coordinator will be responsible for data entry for billing & invoicing, closing out jurisdictional permits, and general clerical duties. The Office Coordinator will play a crucial role in managing administrative tasks, maintaining office supplies, and ensuring a smooth and efficient work environment for the team. This is 100% onsiteDaily ResponsibilitiesVerify Accuracy & Input Data into front end systems to initiate billing and invoicingReview Maps & Blueprints and reach out to municipalities to close the permits out following the completion of jobsAssist with initiating / tracking Utility Locate requests as neededMaintain filing systems and digital recordsCommunication and Reporting using Google / MS Office ToolsTrack open items & Follow-Up as appropriateGeneral Clerical Duties and Tasks like making copies, ordering office supplies, etc.Provide administrative support for the teams in the office, both in Ft. Myers and Apopka as well as field teamsReceives and directs incoming calls and visitors to the appropriate personnelRequired Qualifications1+ Year(s) of Data Entry1+ Year(s) of Billing / Invoicing Experience (data entry not calculations)Demonstrated strong organizational skills and high attention to detail, and the ability to communicate effectively in person and in writing.Demonstrated proficiency in the use of computers, office equipment, and office software, including Google Suite and Office Suite. Particularly Excel / Sheets, Word / Docs, PowerPoint / SlidesProven strong customer service skillsStrong written and verbal communication skillsProven ability to build and maintain relationships with team membersHighly Organized Self StarterDesired QualificationsExperience with Sunshine 811 programTelecom Construction or Construction environment experienceEducationHigh School Diploma (or Equivalent)
