This role provides an excellent opportunity to work in a fast-paced and dynamic environment among top professionals in the industry.Job Description: The Coordinator, External and State Affairs will provide administrative and operational support to the External and State Affairs Department, ensuring seamless daily operations. The role involves scheduling, invoice processing, meeting planning, and general administrative duties. The ideal candidate is highly organized, proactive, and able to manage multiple priorities efficiently.Key Responsibilities:Provide administrative support to the External and State Affairs Department.Work closely with the Executive Assistant to manage scheduling, departmental calendars, and inboxes.Schedule appointments, conference rooms, and meeting spaces.Process invoices using the internal accounting system and expense reports through Chrome Rover.Coordinate travel arrangements for senior leadership and team members.Plan and execute logistics for offsite meetings and events, including four major events annually.Assist in organizing a large reception for approximately 250 attendees.Maintain department files and spreadsheets related to conferences, budget projects, and meetings.Draft, edit, and proofread business correspondence and communications.Serve as the point of contact for internal and external stakeholders regarding department activities.Qualifications:1-2 years of professional administrative work experience (internships in professional office settings accepted).Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Teams, Zoom).Strong organizational and interpersonal skills with a proactive approach.Ability to work independently and collaboratively within a team.Bachelor's degree preferred.Perks:Health & Dental: 100% employer-covered individual plans, family plan options available.Vision & 401(k): Competitive matching and discretionary bonus contributions.Work-Life Balance: 10 remote work weeks per year, pre-announced annually.Paid Leave: 12 weeks of paid parental leave, generous vacation, and sick leave policies.Professional Development: Career growth support and training budget.Technology & Commuter Benefits: Employer-covered cell phone and service, commuter assistance.This Company is an Equal Opportunity Employer.
