Job Title: Executive Programs CoordinatorLocation: San Francisco, CA (Hybrid: 3 days/week in office)Start Date: February 24, 2025 (Target)Contract Duration: February 24, 2025 - July 31, 2025 (with potential for extension or permanent hire)About Us: Join our dynamic team as an Executive Programs Coordinator, supporting our high-impact Customer Advisory Boards (CABs). These exclusive forums bring together top executives to foster strategic insights, build valuable relationships, and drive innovation across our key accounts. As part of our mission to elevate customer experiences, you will play a vital role in delivering seamless and memorable engagements.What You'll Do:Customer Nomination & CommunicationIdentify and nominate potential CAB participants.Serve as the primary point of contact for customer communications, delivering concierge-level service.Manage invitation campaigns, confirmations, and event logistics communications.Logistics & SchedulingCoordinate scheduling details with Executive Assistants (EAs).Create and maintain accurate customer calendar invites.Provide ongoing logistical support to internal and external stakeholders.Sales Communications & BriefingsKeep Account Executives (AEs) updated on RSVPs.Create and distribute briefing documents for sales and executive leaders.Content & Presentation DevelopmentDesign and update presentation materials for both internal and external audiences.Develop program overview decks, session agendas, show flows, and other templates.Project ManagementMaintain detailed workback schedules and timelines for CAB events.Manage operational processes, best practice documentation, and playbooks.Track and measure program effectiveness using Salesforce.What We're Looking For:3+ years of experience in program coordination, marketing, or executive events support.Exceptional organizational skills and meticulous attention to detail.Ability to manage multiple projects and shifting priorities simultaneously.Strong verbal and written communication skills, with experience in executive communications preferred.Familiarity with Salesforce and Slack is a plus.Creative problem-solving abilities and a collaborative mindset.Experience with project management or event coordination is a bonus.Why Join Us?This role offers a unique opportunity to work closely with our executive leadership and key customer accounts.
