The Client Relations Administrator will manage front desk operations, assist with customer service, oversee product logistics, and provide administrative support. This role combines responsibilities in client relations, product management, work order fulfillment, and data entry, ensuring smooth day-to-day operations and superior customer experience. Key Responsibilities: • Front Desk Management: Serve as the first point of contact for anyone entering the office, greeting visitors professionally and managing front desk traffic. • Answer the main office phone line, handle general inquiries, transfer calls, and manage mail or deliveries as needed. • • Customer Service & Communication: Provide timely responses to client inquiries via phone, email, and in-person. • Ensure smooth communication between internal teams and clients regarding project updates, deliveries, and installations. • Assist with customer feedback and address product-related issues as needed. • • Product Management & Logistics: Assist with pulling and reconciling products for installation projects, ensuring all necessary materials are prepared. • Help manage product storage, maintain accurate records, and coordinate with clients on product inquiries. • • Work Order Management: Manage the entire work order process, from order entry through completion, including scheduling and punch list resolution. • Prepare and deliver work order packets to operations and oversee small installations and deliveries. • • Data Entry & Record-Keeping: Accurately enter data related to customer orders, products, and work orders into company • Maintain organized documentation and ensure proper filing for future reference. Provide general administrative support, including scanning, filing, managing E-Permits, and processing purchase orders. Assist with organizing company events and handle administrative functions such as food ordering and scheduling. Help prepare billing for completed work, verify invoices, and ensure customer signoffs. Be flexible and take on additional responsibilities or projects as assigned by management to meet business needs. Collaborate with different teams and adapt to changing priorities to support company goals. • Administrative Support: • Billing & Invoicing: • Additional Tasks & Projects: Qualifications: • High school diploma or equivalent; 1-3 years of relevant experience. • Excellent verbal and written communication skills with strong customer service and front desk etiquette. • Detail-oriented with strong organizational, data entry, and multitasking abilities. • Proficiency in Word, Excel, and general administrative tools. • Ability to manage a fast-paced front desk and work well in a team environment. • Bilingual Spanish/English is highly preferred.
