As well as demonstrating a real thirst to understand the healthcareindustry and medical education activities, the AE will play a key role in the smooth running of client accounts, withthe main responsibility being to provide administrative and logistical support.The AE will be expected to be a true team player, building their confidence to take ownership for the smoothrunning of designated projects. As they progress, they will be expected to start to develop an understanding of basicmed ed skills and processes, relationship building and event management. Although predominantly anadministrative role, the AE allows individuals to demonstrate key skills and behaviors required to be a med edprofessional: consistently delivering high standards of work to deadlines and the ability to multitask and prioritize inorder to manage and time effectively.Core ResponsibilitiesAccount AdministrationBuild an understanding of the client, their products, med ed programs, and objectives for each projectSet up, develop, and manage effective account team administrative proceduresEnsure meeting rooms are prepared in advance and organize refreshments where requiredTake responsibility for filing and storage of client materialsAssist with administrative support for new business opportunitiesTake responsibility for developing and updating action lists, status reports, and minutesTake responsibility for compiling and managing databases and listsLiaise with suppliers, eg, multimedia and design teams, to produce medical education projects in a range offormats, including onlineProvide general office and administrative support as requiredEnsure all written communication is produced within Virgo House Style, format, and quality with minimalerrorsContribute to team meetingsKeep track of account team costsAccurately input hours worked into timesheets on SAPScientific KnowledgeBegin to develop an understanding of the scientific data behind the product, general knowledge of thetherapeutic area, and other competitorsBegin to develop an understanding of scientific referencingBe aware of current events and issues that relate to the therapeutic area and communicate to the team andclient when necessaryEvent ManagementOrganize the logistics for external meetings, eg, researching and booking venues and accommodation, andconfirming terms and conditionsPrepare briefing documents for all relevant parties, eg, speakers, production companies, and suppliersProvide office support for account team members attending off-site eventsOrganize printed materials for eventsClient ActivityBegin to liaise with clients on a day-to-day basis to progress tacticsBuild an understanding of the client's internal environment including all relevant contacts and their job rolesDemonstrate an understanding of the role medical education plays in the client's business environmentRelationship BuildingBuild professional relationships with external suppliersBuild relationships with potential case studies and KOLsAct as a team player within the Virgo teamIndustry AwarenessStart to proactively develop an understanding of the broader health environment, and use growingknowledge toward the implementation and development of client and new business programsFamiliarize yourself with clinical journals and conferencesFamiliarize yourself with the healthcare and pharmaceutical industry and external environmentBegin to develop a global industry awarenessExperience/Skills RequiredExcellent organization and administration skillsExcellent verbal and written communication skillsSystematic and logical approach to planningComputer literate with MS Outlook, Word, Excel, and PowerPointAttention to detailLevel Of Experience0-2 years of experience at a health care communications and/or logistics companyQualificationBachelor of Arts or Bachelor of Science preferred, or of graduate caliberVirgo CharacteristicsTeam playerReliableEnthusiasticConscientiousProactiveSelf-motivatedMultitaskerOrganizedPassionate commitmentProfessionalism and client focusCommercial awarenessDetail focusedKey Performance IndicatorsAccuracy and timely distribution of daily priority action emailsTime management; meeting deadlinesQuality of written work, ie, client emails, status reportsAnecdotal client and supplier feedbackAnnual performance objectives and performance appraisalSalary Range: $50,000-$75,000Actual compensation offered within the range will depend upon, among other factors: a candidate's skills, qualifications, and experience; actual ranges for current or former employees in the role; and market considerations.Virgo is proud to be an Equal Opportunity/Affirmative Action employer.
