PROJECT MANAGERJOB DESCRIPTION & RESPONSIBILITESUnder the direct supervision of the Director of Operations, it is the responsibility of the Project Manager to organize, supervise and coordinate the project and the on-site staff (daily communication with superintendents on each operating project is expected) to complete the work on schedule, within the budget and to the quality of workmanship specified. It is also his/her responsibility to serve as the Widespread Solutions representative. In the performance of this function, it is the Project Manager's responsibility to protect and promote Widespread Solution 's interests in all matters and to do whatever is reasonably necessary to execute his/her duties and responsibilities and see that Widespread Solutions' SOPs are carried out.Below are the general duties and responsibilities of the Project Manager, however, additional duties may become necessary to ensure the success of the project and /or it may become necessary for the Project Manager to take on additional roles and responsibilities as determined by Senior Management.Relationship Management and Business Development 1. Develop a list of current clients who fit into current business model. 2. Create database of subcontractors by Scope / Division / Geographical Area.3. To provide leadership and to establish and maintain effective and harmonious working relationships with all those involved in the project, particularly with the Owner, Architect, and subcontractors.5. To meet at regular intervals with the Owner and Architect and to keep them currently advised on the status of cost versus budget and the progress of the work.ESTIMATING1. Work closely with estimator in putting together bid packages. a. Assist the Estimator as needed2. Go through drawings by division. a. Identify: i. Price ii. Clarifications for owner iii. Questions for yourself iv. Questions for Subcontractor v. Inclusions & exclusions vi. Handoff between subcontractorsProject Set- Up: Ensure that proper tools are in place prior to the beginning of a project 1. Buyout of subcontractors and vendors; ensure we have a complete scope and understanding with our partners, prior to executing the contract. 2. To have a complete and thorough knowledge and understanding of the Contract Documents, the General Conditions Contract and the Subcontract.3. To see that all drawings and specifications are examined, prior to beginning construction for design deficiencies, impractical details and possible code violations, and through a meeting with the Architect, bring them to a resolution.4. To ensure that Subcontracts and purchase orders are prepared and submitted on a timely basis.5. To see that the Project Schedule, incorporating dates and times for Owner decisions, availability of design information, procurement of materials, lead times for fabrication, and field installation, is established and maintained.Document Management:1. RFI's: a. Receive and process RFI's:i. Once RFI is received, coordinate in-field with the area Superintendent / to come up with a resolution. ii. Keep track of all responses and provide copies to Internal team and subcontractors. iii. Update Widespread Solutions staff on RFI responses. iv. If any potential cost impact arises from RFI submit potential impact to the client2.Submittals: a. Review, create and track submittals. i. Review required submittals pre-bid with Project Manager. ii. Obtain submittals from subcontractors once subcontractors are assigned. iii. Prepare and forward submittals for approval. iv. Work with area Superintendent, check and verify submittals meet specs. v. Upload submittals to server. vi. Track material in the submittal tracking matrix. vii. Send Tracking Matrix to the Internal Team.viii. Work with area Superintendent for the purposes of monitoring and expediting material deliveries ensuring deliveries conform with the project schedule.ix. Accountable for receiving approved submittals from Architect or Engineer and notifying the Project Superintendent of potential schedule impact.x. Keep subcontractors and Widespread Solutions updated on status of submittals.3. Meeting Minutes:a. Attend required construction meetings with required subcontractors. b. Keep Meeting Minutes updated in server.4. IT / Software: a. Become familiar with BIM / Procore Models / Tools. b. Become familiar with Microsoft Office applications. i. OneDrive ii. Excel iii. Word iv. Outlook5. Ticket Signing: a. Get all tickets from contractors signed by appropriate parties.b. Review all tickets with on-site Superintendent to determine owner cost and internal Cost. c. Forward tickets to appropriate parties.6. Task Tracking:a. The most powerful tool for managing yourself is to make a list of tasks which can be continually followed up on and tracked.b. Make a list of tasks that need to be completed, when it needs to be completed, and the status of the job.c. Every morning before the day begins, review the list and determine what is the more important items to focus on.d. During the day, tackle the most important items systematically and try to "touch" each item every day. In addition, immediately add any item that required action, no matter how small!e. At the end of the day, update your list and evaluate what didn't get done, and reflect what needs to get done.Operational Excellence: Plan Effectively1. Oversee performance of all trade contractors and reviews architectural and engineering drawings to make sure that all specifications and regulations are being followed.2. Responsible for administration of the Construction Contract and obtaining all licenses and permits.3. Supervises superintendents, reviews their reports, checks on any reported difficulties, and corrects any safety violations or other reported deficiencies.4. Promote Transparency and Accountability between the Owner / Architect, Subcontractors, and Widespread Solutions Team.a. Help mentor and lead Assistant Project Manager(s) - LESSONS LEARNED & PAYING IT FORWARD5. Oversee & coach the Project Engineer create, track, and distribute RFI's to bidders.6. Develop, track, and control construction schedule and associated costs to achieve completion of projects with time and monies allocated.7. Reports to owner and architect about progress and any necessary modifications of plans that seem indicated. Plans, implements and tracks closeout of projects. 8. Manage day to day operational aspects of construction projects.9. Facilitate, lead, and notate on site meetings & conference calls as required per project and distribute meeting minutes. 10. Accurately forecasts revenue, profitability and project costs.11. Proactively identifies changes in scope and ensures appropriated measures are taken.12. Oversees Submittal and RFI process between Subcontractors/Suppliers and the design team.Project Audits1. Monthly Audit - Each month, the PM shall perform a project audit on each project which includes all the base contract work and change orders. This will be reviewed with Senior Management. (There are separate audit instructions.)General Administration 1. Maintain orderly and neat general record keeping, project drawings and logs, specifications, estimates, change orders etc.2. Review, approve, and sign all correspondence, reports, records, subcontracts etc.Appearance / Demeanor1. It is expected that the PM display a professional image of the company to the owner, internal office staff, and the field. This includes a neat appearance, positive attitude, and always working toward finding solutions.Other 1. Perform such other duties as may be assigned by Senior Management.
