Job Title: Contract SpecialistDepartment: Project Management OfficeReports to: Senior Manager - PMO Planning & CoordinLocation: In Office, Kirkwood NY, Rochester NYThe base salary range for this position is dependent upon experience and location, ranging from: $83,804.80 - $104,756Job Summary:Scope of Work - Main duties, settings, geography, reporting relationships, and other relationships:The Contract Specialist will be responsible for managing the contract lifecycle, including drafting, reviewing, negotiating, and administering contracts with vendors, clients, and other stakeholders for assigned areas.Additional duties include the development and creation of process details and other documentation related to activities performed by the PMO-Procurement, Materials and Contracts group, for the purpose of standardizing and documenting processes and procedures.The ideal candidate will have a strong understanding of contract law, excellent negotiation skills, and the ability to work collaboratively with various departments to ensure compliance and to mitigate risks. In addition, the candidate must possess substantial experience in identifying relevant stakeholders involved in the development of work instructions, processes, and procedures. Demonstrated ability to effectively gather pertinent, complex information from these stakeholders and subsequently translate that information into a usable format for documenting processes is required. Major Roles and Responsibilities (Scope of work - range of responsibilities): Job Requirements:Draft, review, and negotiate a variety of contracts, including but not limited to service agreements, vendor contracts, non-disclosure agreements (NDAs), licensing agreements, etc.Collaborate with internal stakeholders to gather requirements and ensure alignment on contract terms and conditions.Conduct thorough risk assessments and provide recommendations to mitigate potential issues.Maintain accurate records of contracts and related documents in compliance with company policies and legal requirements.Provide guidance and support to Business Units on contractual matters and best practices.Stay up to date with relevant laws, regulations, industry trends, and company objectives that may impact contracts and agreements.Assist with the development and implementation of contract management processes and tools.Identify and engage relevant stakeholders necessary for the development and refinement of work instructions, processes, and procedures.Collaborate with stakeholders to gather comprehensive and accurate information regarding current workflows and methodologies.Analyze and synthesize stakeholder input to create clear, concise, and standardized documentation of processes and procedures.Develop and maintain work instructions that reflect best practices and compliance with organizational standards.Facilitate workshops or meetings with stakeholders to validate and refine documented processes and ensure alignment with business objectives.Ensure that all documentation is accessible and user-friendly, supporting effective training and onboarding for staff.Continually assess and update processes and documentation to reflect changes in operations, technology, or regulatory requirements.Monitor and evaluate the effectiveness of implemented processes and documentation.Skills/Abilities:Proficient in contract drafting, review and negotiationStrong analytical skills with the ability to assess risks and complianceExcellent communication and interpersonal skills for stakeholder engagementSkilled in documenting processes, procedures, and work instructions clearly and effectivelyDetail-oriented with a focus on accuracy and consistency in documentationAbility to facilitate workshops and gather information from diverse stakeholdersStrong organizational skills to manage multiple projects and deadlinesProficient in contract management software and Microsoft Office SuiteAdaptable and able to implement feedback to improve processes and documentationKnowledge of relevant laws and regulations affecting contracts and documentation practicesExperience/Training:5 years proven experience as a Contract Specialist in a similar role, preferably within the utility or energy sectorStrong knowledge of contract law and legal terminologyRequired Education:Bachelors Degree in Business Administration, Law, or related field, or equivalent experienceMobility InformationPlease note that any applicant who is not a citizen of the country of the vacancy will be subject to compliance with the applicable immigration requirements to legally work in that countryAVANGRIDs employment practices and policies are geared to hiring a diverse workforce and sustaining an inclusive culture.
