We are seeking a detail-oriented and organized Sales Operations Analyst to join our dynamic sales team for an organization that has a growth strategy. The ideal candidate will assist in various sales operations tasks, including proposal generation, order processing, maintaining records, and supporting the sales team with essential administrative functions. This role is critical for ensuring the efficiency and effectiveness of our sales processes.Key Responsibilities:1. Proposal and Change Request Generation:Create and maintain a library of proposal templates to support the Account Executives.Generate proposals and change requests in Zoho, ensuring proper formatting and documentation.Set up project folders in Teams/SharePoint and manage proposal revisions as necessary.Prepare and log RFQ/bid documents and share with relevant team members.2. Sales Orders and Change Orders:Update the status of proposals in Zoho upon receipt of signed contracts and purchase orders.Collaborate with Account Executives (AEs) to gather pricing and necessary documentation.Generate and distribute monthly sales order reports and assist with revising sales orders and change orders.3. Zoho and Team Management:Enter and maintain accounts, contacts, and leads in Zoho as requested by the sales team.Manage Teams/SharePoint channels, adding members and organizing proposal and bid documents.4. Non-Disclosure Agreement (NDA) Management:Prepare NDAs from templates and manage redlines as needed.Coordinate with customers for signature and maintain documentation in SharePoint.5. Service Contracts and ESA Preparation:Assist AEs with the quote-to-sales order process for service contracts.Update and maintain ESA documents in Quoteplan as per policy changes.6. Training and Onboarding:Train and assist new sales team members on Zoho, proposal generation, and document management processes.7. ISNetworld and Compliance:Maintain customer safety and training requirements in ISNetworld, collaborating with Finance, Operations, and HR for prequalification processes.Keep records up-to-date for insurance certificates and OSHA logs.8. Additional Administrative Tasks:Manage Adobe signature routing for contracts and documents.Assist with various internal projects.Maintain the IxP Outlook Calendar and coordinate holiday parties and company events.Requirements:Bachelors degree in Business Administration, Marketing, or related field preferred.5+ years of experience in sales operations or administrative support.Experience supporting C-suite level.Experience in Construction Management, consulting engineering or tech firms would be an asset.Proficient in Zoho, Microsoft Office Suite, and Google Docs/Sheets.Superior organizational skills with attention to detail.Excellent written and verbal communication skills.Ability to work collaboratively in a team environment.Willingness to perform tasks outside of normal scope.At Inflexion Point, everyone is welcome.
