Our client, a pharmaceutical company based in Bedford, MA, is seeking a temporary Business and Administration Specialist to join their team! This role is onsite in Bedford, full time hours Monday through Friday, approximately 12 months long, and paying up to $43/hour. Interested and qualified candidates are encouraged to apply today!Budgeting & ForecastingCoordinate with HR to manage budgets and prepare forecasts.Ensure timely vendor invoicing and track invoices and unbilled amounts monthly for accrual and payment.Collect data, reconcile monthly spending, and report on non-invoiced services.Monitor departmental spending for better budget accuracy and purchase order management.Analyze data to explain deviations from budget over time.Reconcile vendor statements and resolve discrepancies.Collaborate with Finance to keep HR budgets and forecasts updated.Create requisitions and purchase orders; set up new vendors in SAP and Ariba.Monitor spending against budget and existing purchase orders.Establish budgets and approval flows in Legal Tracker.Administrative SupportProvide support for special projects and general administrative tasks for HR leadership, including calendar management, meeting scheduling, travel arrangements, expense reports, and catering.Tool OptimizationUse tools like Legal Tracker and SAP to enhance efficiency and reduce manual tasks.Partner with HR Technology and Operations for tech solutions and continuous process improvement.Assist in developing a technology roadmap.Identify tools for more effective HR administration.Support strategic management of intellectual property activities and team collaboration.Capabilities / CompetenciesStrong attention to detail and proficiency with systems (Legal Tracker, SAP, Ariba).Professionalism and discretion in all interactions.Resourceful team player, highly organized and self-motivated.Proficient in Microsoft Office Suite and familiar with email/calendar software (Outlook).Eager to learn new technologies (e.g., Power Automate, Power BI) and agile methodologies.Ability to manage multiple tasks efficiently in a fast-paced environment.Excellent organizational, analytical, time management, and communication skills.Beacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
