Financial Services Administrative Associate Bradenton, FloridaPosition Overview:Our client, an independent financial planning and wealth advisory firm, is seeking a detail-oriented and organized Financial Services Administrative Associate to support their team in delivering exceptional service to the clients in the Bradenton / Sarasota area. In this role, you will provide administrative support to ensure the smooth operation of financial transactions, client communications, and documentation. This position is ideal for someone with strong multitasking skills, a proactive attitude, and an interest in financial services.Key Responsibilities:Client Communication: Act as the primary point of contact for client inquiries, scheduling appointments, and follow-ups. Assist in resolving client issues by liaising with appropriate team members.Document Management: Maintain and organize client records, ensuring compliance with company and regulatory standards. Handle the preparation, filing, and tracking of key financial documents. Data Entry & Reporting: Input financial data into systems accurately. Generate reports, spreadsheets, and summaries for internal team members and clients as requested.Administrative Support: Manage team calendars, schedule meetings, and coordinate travel arrangements as needed. Handle incoming and outgoing communications on behalf of the team.Compliance Assistance: Ensure adherence to industry regulations by supporting the team with documentation.Process Improvement: Identify and recommend improvements to administrative processes to enhance efficiency and client experience.Team Collaboration: Work closely with financial advisors, the operations team, and management to ensure seamless workflow and client service.Event & Marketing Support: Help promote and organize webinars, client events, or community outreach activities, including sending invitations and following up with attendees. Some social media management is required.All other duties as requested.Qualifications:Education: High School Degree Required.Bachelor's degree in business, finance, or a related field preferred.Experience: 1-2 years of administrative or operational support, ideally within a financial services environment.Non-financial background will be considered if the candidate possesses exceptional project management skills, is highly organized, detail oriented and has demonstrated an ability and desire to master new skills.Skills:Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Excellent verbal and written communication skillsStrong organizational and time management abilitiesAttention to detail and accuracy in data entryAbility to maintain confidentiality and handle sensitive financial informationEnjoys meeting and welcoming clientsBonus Qualifications: Familiarity with CRM systems and financial software such as RedTail and E-Money.Key Competencies:Strong multitasking abilitiesClient-service orientationProblem-solving skillsAdaptability in a fast-paced environmentProactive and self-directedBenefits:Competitive payPaid time off and holidaysProfessional development opportunities
